Quick Tip: When & How to Refer Out

We’ve all experienced a moment when we have had a student ask us a question or we are faced with a situation we don’t know how to handle. Whether we aren’t equipped or trained to handle it, or if it’s due to a lack of understanding or life experience, we have all faced this in some capacity.

But let me ask you a question: when you were in that moment, how did you respond? Did you do your best to give some type of reasonably decent advice? Did you frantically consult your commentaries or Google? Did you pull out a passage of Scripture like Jeremiah 29:11? Did you consider referring the student or circumstance to someone else?

Hear me out: I know there are circumstances and situations that warrant our immediate attention regardless of training. But what I am talking about is referring or deferring when necessary. In many cases this is not just the best option but an amazing resource and help to you and all those involved.

So what are some ways to help us refer to the individuals, ministries, and resources that will help those we are shepherding?

Know your community.

When you know what resources and capabilities are available in your community it affords you the knowledge you need to help others. Consider connecting with local hospitals, clinics, and mental health facilities as well as local doctors. You can also connect with local first responders, teachers, food distribution agencies, and support networks that help students.

Build relationships.

As you get to know your community, you’re building relationships that allow you to know the available resources and how they can best help your people. It also allows you to best see which people and organizations align with your church and ministry. As you build those relationships, you are also building a rapport that allows for you and your ministry to have a deeper relationship and opportunities for help with your resources. Building relationships allow for you to not only know your community but also to show them that you value and appreciate them.

Utilize resources in your churches.

Church congregations include individuals who are qualified in many different skills and careers that can be extremely beneficial to helping your ministry. Assistance may also come from other ministries that your church offers like a food or clothing bank, a financial assistance ministry, or even counselors in your church. Students may need a variety of resources and the more you are aware of what your church offers and who is within it, the better equipped you will be to serve your people.

Acknowledge your areas of expertise and growth.

When you know your skills and limitations, it helps to frame what agencies and resources you most need to connect with to help your people. So take an honest assessment of yourself and then seek to grow your network accordingly.

Continue to grow and educate yourself.

As you know your skill sets, seek to grow in the areas you aren’t as strong in. This doesn’t necessarily qualify you in all moments, but it helps you to continue to grow and care well for your people.

Making Graduation Season Special

It’s here! The time of year when we commission our graduates, celebrate their achievements, shed some tears as they move on, and reflect on all the memories we have made together. But with these moments come multiple opportunities to invest in, encourage, and champion them as they move into the next phase of their life journey.

There are commencement ceremonies, parties galore, senior parades, and more. Depending on your context and the structure of your ministry, you may be invited to numerous gatherings and events, and that begs a question: how do you make these moments special? Depending on your context you may be invited to a graduation ceremony with multiple students but perhaps you don’t have a budget to get them all a gift. Or maybe you’re invited by a specific family to a graduation, so do you bring them a gift…but what about the other students you know who are graduating?

In order to make the most of this special season, I want to offer a few suggestions for you to consider that will allow you to bless all of your students in a meaningful and personal way. These will specifically be cost-sensitive and will focus on ideas and engagements that will have intentional impact.

Be intentionally relational.

This may sound like a no-brainer, but sometimes it can be hard to engage with people relationally. Maybe it’s a student who just never had anything nice to say. Perhaps it’s a parent who spread rumors about you or one you never met. Or maybe you’re just feeling wiped out from talking to everyone and what’s the big deal with not talking to that family, that parent, or that student?

These moments are opportunities for you to continue to show that your students matter and that you are in their corner. Yes, it may take more time and energy, and yes, you may need to humble yourself in these moments. But I can promise you that if you engage relationally during this season you will see wonderful results as your students continue to grow.

Bring a personalized card.

We have quite a few students graduate each year and it honestly would cost a lot of money if we got each of them a gift, even a small one. So our ministry does gifts for each graduate at our senior commissioning, but Elise and I write out a personal card for each of them that we decorate and make unique. Sharing some memories, writing a personal encouragement, sharing a specific prayer, or even just letting them know how you’ve seen them grow makes the letter intentional and personal instead of a standard card. When you can do something as personal as a handwritten card it shows your students how much they mean to you and how you have seen them grow during their time in your ministry.

Show up when invited.

Our church is a regional church which means we have four or more public high schools, three Christian schools, and cyber learning or homeschooled students represented in our program. Most of our area schools only give out a certain amount of graduation tickets to students, so we don’t always get to attend commencement ceremonies. But when we do, we show up and try to connect with all of our students and families who are present. The same goes for graduation parties. Sometimes we get invited and sometimes we don’t. But when we get the invitation we do our best to attend and connect with our student and their family. These are intentional moments and they communicate love and care for your students.

Don’t be rushed.

I don’t know about you but sometimes I can feel a little pressed for time. There are moments when rushing is appropriate, but in moments when you are connecting with and celebrating your graduates, you need to slow down and be present. That means don’t relegate yourself to only a short time frame. Instead keep your schedule open so you can spend the appropriate amount of time at each special moment.

Continue to be present.

Some of our students experience a fear of the unknown and a fear of leaving behind something they love. In releasing and commissioning our students, one of the things we can continue to do is be present for them. Let them know that you will still be around and that they can still reach out to you. There will be changes, like they are no longer in youth group, but let them know that your love and commitment to them will not change. Continue to follow up with them, grab coffee or visit with them, host a Bible study for graduates, connect them with your college ministry, and utilize other ways to connect during the summer months. These moments help students know that they still matter and that you, and your church, are for them.

Meal Ideas for Students

This summer we are trying something new. Periodically we are going to host brunches during the summer months to provide an opportunity for students and their families to fellowship and have fun together after church on Sundays.

But here’s the thing: we don’t want to take the easy and typical youth ministry approach to these brunches and offer up a variety of pizzas. Instead, we want to provide something different and fun that will appeal to a variety of people. As we were thinking through what these options could be, I wanted to share these ideas with you to help you think outside the box on meals you could offer throughout the year to your students.

Keep in mind that these types of meals can be elevated and shaped in any way you would like. You can also compliment these meals with various sides and toppings to make it a more complete meal.

Breakfast foods.

Whether it’s for dinner or breakfast, breakfast foods can be a ton of fun and offer a lot of variety. You could provide a cereal bar; pancakes and bacon; a fill-your-own-crepe evening; various types of baked oatmeal; breakfast casseroles, or even go all out and do eggs, hash browns, and bacon. Breakfast presents a bunch of fun opportunities to be creative and offer a creative approach to meal time.

Build your own sandwich.

Let’s be honest: sandwiches tend to be a bit boring. But what if you allowed everyone to build their own from the supplies provided? You could have a variety of breads, proteins, cheeses, toppings, and spreads and all of sudden everyone can jump in and be creative and unique in what they make, and it provides a variety of options.

Walking tacos or taco bar.

These can be as easy or creative as you like and are sure to be a crowd-pleaser. Walking tacos can be done with individual bags of Frito’s or Doritos, or you can up the ante and allow people to choose from a variety of chips and create their own flavors. You can also get creative with the type of meats you use. You could incorporate ground beef, steak, pulled chicken, grilled or shredded pork, or incorporate fajita-style veggies. The toppings can be as minimal or vast as you’d like, and you could even ask your group to bring whatever their favorite toppings are to ramp up the variety.

Pulled pork, chicken, or beef.

These are always an easy go-to for a dinner or lunch and they can be flavored in so many different ways you are sure to please a wide variety of people. We found a super easy recipe for pulled pork that simply incorporates root beer and bbq sauce. We tweaked the recipe by getting a couple of marinated pork loins from Aldi and our students raved about it. An easy way to help this work with even picky students is by simply cooking and shredding the meat and allowing them to add their own condiments and toppings to make it their way.

Meatball subs.

Buy a large bag of frozen meatballs, some jars of pasta sauce or bbq sauce, buns, and some shredded cheese and all of a sudden you have yourself a party! The beauty of meatballs is you can simply throw them in a crock pot with your choice of sauce and forget them until it’s time to eat. Providing some quality hoagie rolls and cheese makes these meatball subs a great option.

Pasta night.

There are so many types of pasta you can make for your students! And you can boost this by providing a variety of sauces that your students can add to their favorite pasta. You can also make this a bigger meal by purchasing meatballs and garlic bread to make it feel like a more complete meal for your group.

Hot dogs and hamburgers.

Being able to grill hot dogs and hamburgers is a great way to provide for students and it’s relatively inexpensive. You can purchase bulk hot dogs and hamburgers from a local supermarket or big box store and feed a crowd easily. To make this more fun, make sure to have different condiments and some side items, and maybe consider getting some brats or other unique sausages to grill. You could also have some fun toppings like grilled peppers and onions, and you could do cheeseburgers with various cheeses (these can be purchased inexpensively from stores like Aldi). I’d also recommend seasoning the patties if you do hamburgers to add an additional layer of flavor to your burgers.

Why Have Mission Trip Training?

I remember going on my first mission trip in high school. I was a junior and we went to Mexico to serve in one of the cities there. I knew some of the group I went with and had a little bit of an idea of what we would be doing. I knew we would be performing some dramas portrayed to music because we were separated into groups and told to find time to practice and prepare.

We were given a music video and told to try and replicate that for our trip. We got together and practiced, and we ended up being pretty good (minus my lack of musical skill and being able to keep time). We had a couple of team meetings where we’d talk about knowing some Spanish and were given a brief overview of what to expect. Other than that we were told to have our passports ready and were given a tiny packing list. I had no idea what we were walking into, I didn’t really know what to expect or what we’d be doing, and I wasn’t prepared for the culture shock.

In other churches where I’ve served, mission training and prep work were not in-depth nor did they actually prepare us for what we would do. It was very basic and broad, and probably not overly helpful for our teams. Now, I have completely tried to shift how this is done with our students in order to better prepare them, help them grow and mature, and to set them up for success on the trip. I am not saying that what we do for our training is perfect or a one-size-fits-all approach, but I do believe what we offer is helpful and beneficial for everyone who goes on the trip. Below are the aspects we incorporate to make training important, necessary, meaningful, and developmental.

Team building.

Thoughtful and practical team building is a must for your group because it helps them prepare for the changes that will happen and the flexibility that is of vital importance on a mission trip. This can look different depending on your team and can include different games (Minefield, 4 Person Skis, Relay Races, Obstacle Courses, etc.) with thoughtful engagement and questions after it’s done. It could involve practicing building things or using different tools, it may involve different assessments, or it could even be assigning the group a task and removing aspects that we take for granted (i.e. speaking, seeing, lighting, directions, etc.).

In order for these to be successful you must make sure to debrief, engage, and help students process. Students will get frustrated by these exercises, but helping them to understand why they did and how these moments will develop in trips is key because then they can begin to thoughtfully engage better on the trip.

Self-awareness training.

This often goes hand-in-hand with team building because effective team building should have thoughtful reflections and questions afterward to help your team think deeper about how they engage with one another. But that shouldn’t be the only self-awareness training you do. Consider bringing in a spiritual gifts assessment, a small personality assessment like DISC, having students do an assessment like Strength Finders, or even having students think through what will be difficult for them on the trip. Create space for them to share those things in a smaller group and think creatively about how to respond.

Relationship training.

Now hold on for a moment because I know how some of you read that. I am not thinking about couples or “purpling.” What I am talking about is helping our teams understand how to have authentic, interpersonal relationships with one another in the midst of a mission trip.

Prayerfully, you are taking a group of students and leaders who are all very different people. That means their stressors will be different, how they respond to certain tasks or leaders will differ, and how they engage when overtired, stressed, hungry, or frustrated may cause them to butt heads with other members of your group. Training your team on how to understand those moments will come, how to work to prevent them, how to respond during them, and how to love one another well before, during, and after them is of vital importance.

Understanding where you are going.

Currently, we have been taking teams of high school students to rural Kentucky in the Appalachian Mountains. It’s an amazing community that we have the privilege of helping recover from devastating flooding that occurred in 2022. While we are only 8-9 hours away from there, it is a completely different setting. Culturally it’s different, their vocabulary is different, how they do things is different, and even what they eat is different (remind me to share what soup beans are sometime).

In order to help your team prepare, it may good for you to do a site trip or a vision trip so you can bring back firsthand knowledge to share with them. Regardless of whether you can go to the site first or not, you should work to help your team to understand the setting and culture you are entering into. Set expectations, help them know what to say and not say, talk about what they will see and hear, walk through how to engage with the community, and help them prepare their hearts.

Providing updates.

Mission trip training sessions allow you to provide your team with all the updates they need. Whether it’s updates on the trips, updates on support raising, or updates on packing lists, training allows you to communicate what needs to be shared and help your team be as prepared as possible. Updates help your team to know what they need to know in order to be successful and capable in their service to others.

Engage in thoughtful conversations.

One of the parts our training includes is thinking differently about poverty, how we see people, and how we can help. We want our students to not judge people or fall prey to the typical societal responses toward those individuals who are living in poverty. In order to accomplish this well we incorporate videos from Helping Without Hurting from Life.Church. There are six videos in total and crafting questions for before and after the video will help your team think critically about how and why they are serving.

Mission trip training is vitally important to helping your team gel together, serve well, and be equipped for what they will be doing. Trip training doesn’t guarantee success but it does provide your team with the resources and training that they need in order to thrive on their trip as they seek to serve others.

Ways to Honor & Celebrate Your Seniors

It’s May, and that means graduation season is coming soon! We have already started to receive graduation party invites, schools are sending out notices about commencement, and students are finishing exams and going on trips. Soon-to-be graduates are preparing for the next step in their journey as young adults.

For us this is always a bittersweet season. We see our students graduate and we are so incredibly proud of them, but it also tugs at the heartstrings as we prepare to say goodbye to them being in our ministries. This year is especially bittersweet for Elise and I as this graduating class is the class that started in our middle school program the year we started at our church.

We have watched these students grow in their faith, ask deep and meaningful questions, wrestle with practical application of what they believe, and navigate all the other complexities that come with middle school and high school. Couple that with our ever-evolving culture, figuring out a new normal post-pandemic, and the complexities of social media, and all of a sudden we realize just how much our students have walked through, overcome, and achieved.

This is an incredibly special moment for seniors and their families, so we as the church should take charge of moments like these to honor, recognize, and celebrate our people. Seniors have many people celebrating them whether it’s at graduation parties, school events, social settings, or cards in the mail. But when was the last time the church celebrated them in a meaningful way?

Many churches will bring graduates on stage and pray for them, but shouldn’t we be looking to up the ante? Can’t we do something more? This has become a passion of mine over my last decade in student ministry, and today I want to share some tips on how you can meaningfully celebrate your graduates and honor all that they have accomplished.

Create an intentional brochure.

Over the past few years we have revamped our senior brochure that we hand out to our congregation. It used to just be a picture of each graduate, what high school they graduated from, and where they were going to college. But in wanting to be intentional in how we honor our seniors, we took it a step further.

We asked them to share their favorite memories, what God has been teaching them, their intended major or focus, and how the church can pray for them. These questions helped to personalize the brochure and give our church ways to engage with students at a deeper, more personal and spiritual level.

Host a reception.

After our commissioning we have a reception with refreshments, gifts, encouragement for graduates and families, a photo booth, and a time for families to encourage and pray over their graduates. A reception doesn’t have to be over the top to be intentional. By simply providing a space and opportunity to celebrate and honor students, you are highlighting the importance of what they have accomplished as you care well for them.

We incorporate balloons, fun graduation plates and cups, refreshments, a table centerpiece, a photo booth, and a presentation. While this may sound like a lot, but many of these elements were made by our team or acquired over the years. It’s all about being creative and thoughtful and building upon each year.

Write them a letter.

In the last few years we have started writing a letter to our graduates that our student ministry team and senior pastor sign. These letters are intentionally thought out and highlight the ways our church is for our students and will continue to be for them. These letters can be from you personally, your student ministry, or even church leadership, and they are an opportunity for you to encourage your students and show them that the church is for them.

Provide a meaningful gift.

This was never something I experienced in high school, and it wasn’t until I had my first full time job in student ministry that I saw seniors receive a gift. I’ll admit, at that time we simply gave them a book, but that stirred in me a desire to be intentional with what we give our students.

A meaningful gift doesn’t have to be expensive or over the top; it does need to be thought out and purposeful though. Today, we give our students a gift bag filled with candy, glow sticks, a confetti popper, a book, a card from church staff, a letter from church leadership, and a few other small items. We want our students to know we thought about them when we put the gift together and that it is both meaningful and practical.

Share photos.

Whenever you honor your students, try to share photos of them to highlight them. These can be photos from when they were in youth group, family photos, their graduation photos, prom photos, or photos from trips and retreats. You could include throwback photos for a “trip down memory lane,” which some of your students may cringe at but all will chuckle at how much they have grown. However you choose to do this, make sure that you have all your students in the photos if at all possible.

Honor them at youth group.

Another way to honor and celebrate your seniors is to acknowledge them in front of your youth group. This could be sharing memories and stories about the students, it could be praying for them, giving them a gift, or having a cake for them to celebrate. Whatever it looks like at your youth group, make sure to celebrate and pray for them as they prepare for the next step in their faith journey.

Commission them.

Over the past five years, our family ministry team has been intentionally attempting to make our time celebrating our seniors more than just a celebration and more of a commissioning. We are sending our students out into the next part of their faith journey and as such we should commission them in the same way we commission and send out missionaries.

Take time to highlight where your students are going, what they are pursuing, and how the church can pray for them. If possible, I would encourage you to bring up family members, small group leaders, and church leaders to pray over your students. This helps to confirm to your students that you and the church will be for them as they head out.

Pray for them.

Praying for your graduates is one of the best things you can do. If you’re honoring them in front of the church, consider having your senior pastor, an elder, or multiple leaders pray over them as your church participates with them. Another way to pray for your students is asking them what their prayer requests are and sharing those requests with the church. This will allow for multiple people to pray for your students in intentional and personal ways.

How to Walk with Students Who Are Grieving

The loss of a family member. A relationship that crumbled. Mom and dad getting divorced. Making a big mistake.

Students grieve for a variety of reasons like we all do. But there’s something that pulls at our innermost being when we watch a student navigate pain and sorrow. We empathize and sympathize with them, feel their pain and grieve alongside of them. We want to fight for them, to right all the wrongs, and to wrap our beloved students in bubble wrap to protect them from all the harm and pain of this world.

While those emotions and responses of empathy and sympathy are valid and necessary, we must also think practically about how we can love, care for, and walk with our students as they navigate pain.

Involve trusted leaders.

This is something that I have found to be incredibly necessary and helpful in caring for students. Often I don’t get to be involved in our small groups due to how our ministry is structured and organized, so our small group leaders are the ones who consistently walk through life with our students. To bring them into what is happening and equip them to love, care, and engage with their students allows for multiple levels of care for our students and highlights inter-generational, discipleship-oriented relationships.

Reach out to them personally.

When appropriate, reaching out personally to students who are hurting is incredibly important because it shows them that they are seen and that you care. This can be through a text, a phone call, a visit, or taking them out to talk. This looks different depending on the circumstance and what is happening, but making that personal connection is key.

Connect with parents/guardians when warranted.

This is something that may get missed depending on the circumstance the student is going through. Of course we all know that there are specific moments when we have to include parents, but do we think about connecting with parents when students are mourning a broken relationship, a failed class, or when a student messes up?

I know the tension that can exist in the sense of not breaking a student’s confidence, but if the situation is affecting the student in profound ways then appropriately involving parents is warranted and needed. So consider bringing in parents so they can understand, love, and walk with their students. Make sure you highlight some suggestions on how to do so as you provide insight and understanding for them.

Bless them with a note and/or a gift.

When possible and appropriate, sending flowers, a note, a gift card, or groceries can be wonderful ways of helping students feel seen, understood, and cared for. These tangible metrics help students know that they matter and that you care. While I wouldn’t suggest this as the only option of care, when coupled with personal connection and relationships these opportunities will truly help our students move through the difficult moments they are facing.

Take them out.

This is something I do and encourage my leaders to do when appropriate. Meeting up for a cup of coffee, at a diner, or a local donut shop to simply sit and listen does so much for a student because you’re showing them that an adult loves and cares for them. By providing a safe place and a snack or meal, it removes pressures and expectations and allows for students to lower their walls and be honest about their hurt and grief. It’s often in moments like this when students share honestly and authentically which provides us with an opportunity to love and care well for them.

Sit and listen.

This is a huge part of what we should be doing throughout any of the above points. Sitting and listening is key to understanding what students are feeling and going through, and showing them that they are valued and heard. It also allows you to understand the situation and how best to respond. When we listen well and engage in those moments we are showing the student that they matter and we are validating who they are and what they are feeling. Don’t listen just to “fix the circumstance,” listen to understand, empathize, sympathize, and walk with your students.

Be available.

Hurt, pain, and grief don’t happen on a schedule or when it’s convenient. They happen sporadically and spontaneously as life happens. That means often times these moments will not occur when it is not beneficial or timely for us, but we must be prepared and willing to be available.

I’ve had countless moments when tragedy has hit a student or their family, and I need to able to be present and available in as much as I am able. Sometimes that means showing up at their home when they’ve lost a family member, making a phone call when driving to an appointment, or texting a prayer and Scripture to them. Regardless of what availability looks like in the moment, being able to respond and engage well is key.

Refer out when necessary.

This is something I wish I had been taught in school and earlier in ministry. Here’s the thing: most pastors and ministry leaders are not counselors, psychologists, or experts in every field. That means we should not try to act like we are nor should we try to give answers and advice that we aren’t equipped to give.

Instead, we need to build a network of trusted and skilled people in various roles who can help love, care for, and support our students. That means being able to refer to trusted counselors, medical personnel, case workers, police, and crisis intervention specialists. This isn’t saying you aren’t good at your job or doing all you can, but to truly do well at ministering to students we need to provide them with the best overall support which means utilizing the best people we can to help do just that.

Theme Night Ideas: Nerf Battles

Last Monday, we kicked off a new series called “Theme Night Ideas.” These posts are intended to help you think creatively about how you can help students invite their friends out to a non-threatening event that will hopefully encourage them to participate in your ministry long term. We shared some commitments we make to our students in order to help them reach out to their peers, and some creative aspects to add to every event like food, students sharing, and shortened small group times.

Today, we’re sharing an event we only recently started hosting at our church: a Nerf night. This was something I never really got behind because I didn’t think Nerf would resonate with our students, especially our high schoolers, and our more reserved students. But we had a couple of small groups meeting at our church one week and they had a blast playing Nerf throughout the building. So much so, they were telling all of their friends and they were begging my team to host a youth group Nerf night.

I began to look into what this entailed, and it actually ended up coming together relatively easily and it cost less than I had suspected. So what does a Nerf event look like? Well, we have our Nerf night coming up later this month, and I would like to share with you a variety of tips and things to think through to prepare for and make this event a success.

1. Think about your space.

Knowing what you have and what you can use is key for these games. Sometimes less is more depending on the size of your group. Other times, utilizing bigger and more open spaces may be ideal. But knowing what you have at your disposal and how to best utilize it will allow you to create an event that students will love.

2. Provide eye protection.

Eye protection is key for games with projectiles. Some Nerf blasters, like the Rival line, can fire fast and hard, and even a smaller blaster at close range can do serious damage to someone’s eye. So having some safety glasses or googles is a must. A quick Amazon search brings up multiple varieties or a Google search will bring up sites that have various options as well. Just make sure you look at shipping costs and times when you place an order.

3. Supply extra blasters and darts.

Typically students have their own blasters, but some do not or won’t want to bring their own out of fear of them being broken. So having some extras on hand would be extremely helpful. They don’t need to be super expensive or battery operated; they can be simple one shot style blasters or off brand blasters. I’d also recommend supplying the darts for the game. That way students don’t have to struggle to find their darts after the game and it ensures you’ll have enough.

4. Have ways to delineate teams.

Whether it’s pinnies, bandannas, or hats, having a way for students to know who is on their team and who isn’t is key to the success of most games. In games where teams are necessary, having a visual means of identifying teammates and opposing teams will allow students to have more fun and build a stronger desire to participate. Even if you can’t get pinnies or bandannas, think about having different colored yarns attached to players or using colored paper that is taped to shirts as a means of identifying the teams.

5. Know your game styles.

I’ll be honest: the first time we held a Nerf battle I thought I had everything planned out perfectly. I had a PowerPoint with rules and game play, I made sure there was no way to get around the rules, and I thought I had fun ideas that would work well. It didn’t. After two rounds of the original style, I switched it up and we went to a more flexible style of game play. What I found out was my rules were too strict and the game play to detailed. My students wanted a quicker and less restrictive game play.

We switched to a “capture the flag” style game with jails for those who got hit with a dart. We also incorporated ways to get people out of jail to make it more fun and engaging. We have done free-for-all style games to end the night where no one actually gets out. We’ve done leaders versus students. We have had “protect the president” style games where one team’s goal is to get the president and the other team’s goal is to protect them at all costs. We’ve done games where each person on a team can only use one bullet at a time throughout the game.

Whatever you decide to do, don’t be afraid to switch it up if it isn’t landing with your students. And don’t be afraid to ask them what they would like to do because you might find out that they have really good ideas.

6. Make sure your rules are clear.

One of our big rules is no shooting blasters when we aren’t in a game scenario. If we are going over rules, eating snacks, or simply hanging out, students don’t have to wear their eye protection. We tell students they can’t shoot in these moments because we don’t want someone getting shot in the eyes. It can really hurt and damage parts of the eye so we want to be hyper-vigilant in that area. We also make sure that our game time rules are clear and that we have leaders who help to direct game play.

7. Call audibles when needed.

Sometimes our best laid plans can be blown out of the water. And this can only be exasperated by our inability or unwillingness to shift and change when needed. The first time we hosted our Nerf Night, I should have changed how we did it but I refused to audible.

We hosted it during the summer and were hoping for more students but only a small number of our group came out. We had reserved a large portion of church for the event and rather than slim down the area, we kept it the same size. This meant that students were running around for longer periods and spent much of the playing time simply standing around or looking for people. It still worked out in the long run, but it would have been a lot more fun if we had made the size of the space more appropriate to our numbers.

We learned from this and the next time we played, we narrowed the game play space down and it worked out amazingly. Our students were more excited, they were laughing, games went faster which meant more people could play, and overall our students continued to ask to do it again. Calling audibles isn’t always easy or fun for us, but it can make it more enjoyable and exciting for our students which means they will be more willing to invite their friends to the event.

8. Plan out your barricades and boundaries ahead of time.

I don’t know about your church, but at ours there are certain items and spaces that are off limits. We can’t use our preschool space and we can’t move things around in certain classrooms. That means we need to get creative with where we play and what we use for barricades. It would be helpful to think through this ahead of time so when you explain the rules you can help students know what they are and are not allowed to use. Because, and trust me on this, there is always at least one very creative student who will find a way to incorporate an item you never thought you’d have to have a rule about; like a push cart with a trash can lid.

New Series: Theme Night Ideas

This week we’re introducing a new series we’ll share periodically called “Theme Night Ideas.” Our ministry hosts different events throughout the year that have a specific theme attached to them that help our students intentionally invite their friends into our ministry. And we want to share those ideas with you.

These nights aren’t all about the theme, but the theme is a big part of helping us draw in new students. We incorporate other elements such as snacks, a brief testimony or share time, and small groups, but not for as long as we normally would. The reason we still have those elements is because it is the DNA of our group; at our core we are a ministry and not just a fun place to hang out. So we want to make sure that these theme nights aren’t just about fun but also about Jesus and why students need Him. In order for these nights to be a success, we have promised our students four keys things:

1. We will never embarrass you or your friends.

In talking to students, they have made it clear that they are worried about inviting their friends to youth group because it will seem “weird” or “off-putting.” We know it can be hard for students to invite their friends so we want to make sure that we have a fun and safe space for them to invite their peers to without worrying that there will be embarrassment or awkwardness from our team and ministry.

2. We won’t force your friends into a commitment.

This means we won’t make students commit to a conversion experience nor will we force them to become a part of our ministry. That doesn’t mean we won’t share the Gospel or invite them back, it just means we won’t force or manipulate them to do so.

3. We will have fun.

Students want to invite their friends into a space that is spiritually encouraging and enriching, but also into a place that is fun and exciting. So we promise our students that their friends will have fun at these events and we look to deliver on that promise by what type of events we hold, the snacks and food we provide, and by how they are structured.

4. We will utilize more students for these events.

At these events, we want our students to be the ones inviting their friends and we want them to be the ones sharing with their friends. So that means we will have students helping to explain the event, getting their friends connected, and even sharing their testimonies on stage.

How to Host a Respite Day

One of the best parts of my job is working with our special needs ministry. I have the amazing privilege of overseeing a wonderful team of volunteers who love and guide our students in that ministry. Aside from being a ministry I believe every church should have (that’s another conversation for a later post), this is a ministry that truly brings me so much joy.

I started with the special needs ministry when the person overseeing it moved on to a different ministry organization. I’ll be honest and say that I was woefully ill-prepared and had no idea what I was doing. I had never been trained or taught about this while in school, and this is the first church that I have been to that actually has a special needs ministry.

So I went into my first meeting with the team and just asked questions and sought to learn. I dove into books, contacted churches who have special needs ministries, and sought to grow in my ability to walk with and disciple these amazing young people. Through all of that, I got to know my team and our students better and truly began to understand and have a heart for this ministry just like my leaders. And it was through one of my leaders that we began to host our Respite Days again.

Respite days were something our church hosted before COVID and before I started on staff, and honestly, I was a little nervous about hosting them. My mind ran toward all the liabilities, the different needs students had, the guidelines we needed, the number of volunteers, and so much more. If I am being honest though, it was fear that kept me from being willing to host these days in the beginning. Fear of the unknown and what-ifs. Fear of failing. Fear of letting down our students and families who already are marginalized and isolated.

But after some loving and continued prodding from my team, we hosted a respite day in January of this past year and it was a huge success! So much so that we are now hosting one in the summer, fall, and spring of each year. What I’d love to share with you today are a few key ways you can host your own respite day and how you can help ensure it is a success.

Have a sign up process.

The sign up process shouldn’t just be about gathering names, addresses, or other contact info, but about getting to know the students and their families. You should have options for understanding the students and their disabilities and how you can best care for them. You should also look to understand what their triggers are and how they interact with others. Doing this allows you to better serve, love, and care for the students. I’d also encourage you to have a place where you can ask the families if they have any prayer requests or needs, so you can assess whether your church can step in to help and walk with them.

Build a team.

One of the best things to have in place to make this a successful event is a quality team. Having people who understand students with special needs and how to love and care fore them is essential. But it’s also important to bring in people who simply love others well and care enough to learn and walk with them.

Utilize students.

Students with special needs often feel ostracized and alienated by their peers. And more often than not, students with special needs know that they are different and left out. So bringing in students to love and share in life with your group is a wonderful way to encourage them and help to build community. Seek out students who are good hosts and willing to spend time with others, and simply let them do that. Allow them to simply come and build relationships with their peers and to love on your special needs students.

Provide food.

Food is a natural way to lower walls and build community. Having snacks and a meal (if time allows) is a great way to make your environment welcoming and warm. But make sure that you know if certain foods or additives aren’t okay for your students. This is something that your intake form should have as a required question.

If parents don’t want their students having sugar, think about having fruit instead of fruit snacks. If they can’t have food dyes, look for more natural snacks. We have provided Goldfish crackers, pretzels, grapes, and Skinny Pop as snack items and we have had pizza and Chick-fil-A for meals. Whatever you choose, be intentional in what you pick to help make your atmosphere and the entire day feel special and celebratory.

Have a variety of activities.

In order for a respite day to be a success, it is highly important to have a lot of different activities to engage your special needs students. These could be Foosball, ping pong, four square, board games, puzzles, coloring and crafts, playing outside on a playground, drawing with chalk, watching a movie, or playing games on a Wii. We also provide fidget toys for our students who need them and we place them throughout the area we are using so they are ever-present.

We don’t necessarily structure our day with rigid timelines of what we want to do at specific times. Instead we have all the activities up and going to allow our students to engage organically with one another. We do make sure our leaders are present at each activity but we also allow students to choose their own adventure by picking what activity they would like to do.

Bless the families.

One thing I came to realize by serving with our special needs team is this: having a special needs child is extremely taxing and isolating. Most of these families feel alone and forgotten. And worst still, they don’t see churches as safe places for them or their kids. I’ve had multiple parents tell me they have been forced to leave a church as they were told their child wasn’t wanted because they are a disruption. These families are hurting and in need.

So if you’re able to, consider having gifts or gift bags for the students and for their families. For families, we write a card for them and include a gift card to a local restaurant along with information about our church and special needs ministry. For the students, we give new students The Biggest Story Bible by Kevin DeYoung, but everyone gets a gift bag with glow sticks, snacks, some fidget toys, stickers, colored pencils, a journal, sunglasses, and a special note to them from our special needs ministry team.

Utilize invitations.

When you are preparing to host a respite day make sure that you have invitations that you can use to invite people. Disperse them to your church community but also ask the families who have special needs students to invite their friends. Special needs families have their own communities and know one another well, so asking them to share the invitations will ensure that they invite their friends which will provide opportunities for unchurched people to step into your church.

Be hospitable.

Welcoming families as they arrive is key. There may be families who show up who have never been to your facility before, so having someone greet them is paramount to them feeling loved and accepted. Make sure your leaders have name tags and introduce themselves as they interact with the families to encourage them and to help them be put at ease as they leave their student with you.

Hospitality shouldn’t exist only when people arrive but also as students are picked up. Making sure you have a greeter and someone to walk parents and guardians back to their students is highly important and shows them that you value the safety and well-being of their child as well as caring for the parent.

Hosting a Meaningful Senior Commissioning

It’s that time of year when we see all the graduation pictures, receive grad party announcements, and maybe even get invited to a graduation ceremony or two. We’ve written before about honoring seniors and helping to spiritually prepare them for college. In today’s post I want to focus in on one way to do that and offer some ways to do it well with a senior commissioning. I know for some ministries this time may have passed, but it doesn’t mean you can’t do something during the summer, or think about next year and how to impart new or different ideas into your current context and culture.

Let me first explain what I mean when I say senior commissioning. I grew up in churches that would recognize and celebrate seniors on a “senior Sunday,” and I must admit that this was my practice when I started working in student ministry. It usually comprises parading students onstage and, depending on the number, sharing their next steps. Then there’s usually a short word from the youth pastor followed by a brief prayer and applause from the congregation. There’s nothing wrong with this approach, but as I stepped back and assessed what we were doing and why we were doing it, I realized that there are more intentional, relational, and spiritual approaches we could take.

Out of that thought, and many refining steps along the way, we developed our senior commissioning. This is a multi-step approach to not only honoring seniors but also commissioning, encouraging, and preparing them for their next steps as they move beyond high school and student ministry. So let me explain the details for how this looks and how we strive to make this an intentional approach in our disciple-making process.

Communicate.

Months before we actually host our commissioning we reach out to our seniors and their families and let them know what will be happening. We also ask them to fill out a form that has specific information that we will utilize in a booklet for families and show on our screens during our commissioning in the church services. We ask for a senior photo, their favorite memories from their time in student ministries, what trips they went on with our program, what their plans are after graduation, and how can we pray for them. These pieces are all utilized to create a brochure that we give out to our congregants and families to highlight our students. We also continue to communicate with the seniors and families about what we are doing as we get closer to our commissioning ceremony.

Create gift bags.

We do a lot of gift bags throughout the year. We do leader gift bags for when they go on trips with us. There are gift bags for families when we host respite days. Gifts bags for our large training at the beginning of the school year. Gift bags at Christmas. And I’ll be honest, sometimes when you do a lot of gift bags, they begin to look the same. There may be subtle differences but they all have the same feel.

The reason I bring that up is because we want these bags to be thoughtful, intentional, relational, and student-specific. That means we have special name tags and personalized cards instead of a generic gift bag with a general card. We also add in cards signed by our whole staff team and a personalized letter signed by our student team and senior pastor letting them know we are for them and this is their church that loves them. We put in some candy because you know…student ministry. We put in celebratory items like glow sticks and confetti poppers. We get them either book about following Jesus in college or a devotional. Sometimes we throw in a gift card to a local dessert shop.

Purchase items for a reception.

When we host our senior commissioning, it isn’t just about bringing our students on stage and praying for them. That’s a big piece of what we do, but we also want to have a reception time to celebrate and honor the graduates. When you host a reception, you are highlighting the relational component of your ministry and valuing the personhood of each of your graduates. So think about what your reception could and should look like.

Our reception happens during our 10:30 a.m. service time, so we have light refreshments like mini bagels and small pastries. We also provide coffee and orange juice. At our church, most of our rooms are multipurpose which means they tend to have standard items that don’t necessarily feel inviting unless you’re intentional with the space. So we love to incorporate tablecloths, centerpieces, balloons, music, and even a fun backdrop for photos. The little touches make the reception feel more special and make our graduates feel seen and loved.

So think about what items you could purchase to make the reception a little more inviting and special. You don’t need to blow your budget to make an event special. It’s often little things like a flavored coffee creamer, a photo booth, tablecloths, balloons, or even just a welcoming space that truly make this a special moment for graduates and their families.

Have intentional time for families.

One thing I hear often from parents and students alike is how busy everyone is. I mean think about: when was the last time every one of your students showed up to youth group on time? Students are incredibly busy and running from one event to the next. The same is true for families, so much so that they often don’t get time to simply be together and pour into one another. One of the best parts of our senior commissioning is creating space for families to simply be together.

We carve out 20 minutes from our reception to give parents and families time to speak into their graduate and to encourage them. We don’t just spring this on them at the reception; we email out all the details ahead of time and even give them some prompts on what this time could entail. These are moments that the families can utilize however they want and we always get great feedback from them that this is one of their favorite parts.

Challenge and prayer.

We make sure to conclude the commissioning with a challenge and prayer time for our graduates. We want to challenge and encourage them to continue in their faith journey and to help them know that we are for them. We also take time to encourage and challenge parents. This is a time of change for parents and it is important to help them see these changes but also to show them ways to engage with the changes and still shepherd their graduate. This is not intended to take up a lot of time during the reception but instead is meant to provide guidance and encouragement in a short amount of time.

Connect grads with a college ministry.

I will be fully transparent with you and tell you that I struggled with this for many years. Not because I didn’t believe in it, but we just couldn’t seem to get the transition from high school to college ministry to work. This past year we have finally been able to see this transition start to work.

We begin by connecting our seniors with our college ministry leaders at the beginning of the school year. We also utilize our college leaders’ house as a Home Group location for our seniors once a month. Then our college leaders continue to connect with and invite the seniors to college student gatherings that are highly relational throughout the year. At our senior commissioning we invite our college leaders onstage with other church leaders and families to pray over our graduates, and then give our college ministry ample time to share during the reception. This has already started to reap rewards as many of our graduates are already attending our college ministry.
