Fun Game Ideas for Student Ministry

If you’re like me, games may not be your primary focus each week. I am not saying games are bad; I think they are a necessary and important part of student ministry.

But if I’m being honest, I don’t always think about them because I am not always wanting to lead games. I’d prefer to engage in conversations and just float around while interacting with students.

But, since I know how important games are, I wanted to share some ideas with you that are fun, easy to run, and do not take up a ton of prep time.

The Floor is Lava

This is an old school game that has been having a recent resurgence. If you aren’t familiar with the rules, the game is fairly simple: do not touch the ground or you are out.

The object of the game can vary from completing tasks like collecting objects or moving a team to a safe zone, to completing an obstacle course, to a last person standing challenge. The game can be as creative as you can imagine and will allow various people to play.

Seated Basketball/Soccer/Football

This is a personal favorite of mine. These games take the traditional sports we love and turn them on their heads. You do not have to be super athletic to play these games because you are seated the entire time.

Before you start the game, set up your playing area whether it is indoors or outdoors. Simply place chairs where players will sit the entire game or period and label which team they are for. Then have your students pick a chair and get ready to laugh.

The rules are the same for whatever the game is with one addition: students cannot move from their chair. Have leaders roaming to place the balls back in play when needed. You can also change up the rules and objectives to add another layer to the games.

Hula Hoop Volleyball

This is an easy game to set up and run with. Simply set up a volleyball net, or something in place of it like a sheet on a clothesline, and then place hula hoops on each side that are six feet apart. The rules for volleyball don’t change, except that students may not leave their hula hoop during the game unless it is to rotate spots during a change in servers.

Scattergories

This is a great game to play as a small or large group. You can do a quick Google search for categories and then run the game during youth group. You can simply click through the Google images to get ideas or check out a website like this one.

If you are playing as a small group give everyone a score sheet and have them all compete against one another. You or a leader will assign a letter and have the students write words beginning with it.

If you have a larger group, consider setting this up tournament style. Have students all compete with same letter and then when time is up they will compete only against the other person at their table. The winner will advance to the next table, while the loser stays at the table. If there is a tie have them play Rock, Paper, Scissors to decide the victor. The person with the most wins at the end is the champion.

Cornhole/Bags Tournament

If you do not have a couple sets of these for your youth ministry, let me highly encourage you to get some. I have purchased these before and they have held up very nicely.

You can turn it into a tournament to decide who is the best cornhole player. You can also set up varying degrees of game play (i.e. closer or farther away) to make it more of a challenge for your students.

Charades

Who doesn’t love a classic game of charades? The general idea is that you will have someone acting out an action, character, or activity that they have pulled from a hat. These can be pre-made by you and your volunteers or you can have students submit them.

There are lots of different ways to play Charades like as small groups guessing, or as a large group guessing, or even reverse charades where one person guesses while the whole group acts it out. Whichever one you choose, make sure to remind the people acting out that they can not make noise or they forfeit that round.

Head, Shoulders, Knees, Cup

Have you ever played head and shoulders before? You know the one with the classic song? It’s an easy game because you simply need an emcee up front who calls out what everyone needs to do. If they say head, everyone touches their heads. If they shout knees, then everyone touches their knees. In this version two people are facing each other with a cup on the ground in between them. The object of the game if simple: follow the directions and then when the emcee yells “cup,” both players try to grab the cup. The one who doesn’t get the cup is eliminated and the winner finds a new partner to compete with. Bonus tip: make sure there is enough distance between the players so they don’t bump heads when going for the cup.

Pull Up

All you need is a sound system and music, and someone who can start and stop the audio when needed. Have your group sit on the floor in a circle facing inward. Then choose an odd number of boys and girls to be in the middle. When the music starts the students in the middle must go to a member of the opposite gender, extend a hand, and “pull them up”. They then sit in the open spot and that new student in the middle continues by pulling up a member of the opposite gender. This continues until the music stops and the gender with the most people in the middle loses. Play for as long or short as you would like.

Drip, Drip, Drop

For this game you need just a little bit of prep: paper cups and water, and some towels if playing inside. I’d encourage you to play outside so you don’t have wet carpets. Have your students sit in a circle facing each other much like Duck, Duck, Goose. Pick on player to be it. They stand outside of the circle and are given a cup with a small hole in the bottom. Have them place their finger over the hole. When they start they go around the circle saying “drip” and dripping a small amount of water on the students’ heads. When they yell “drop” they turn the cup upside down on the person and have to run around the circle while being chased by the person they dropped on. If they make it to said person’s spot they are safe. If they are tagged they are it again.

Egg, Chicken, Dinosaur

This is a great alternative to Rock, Paper, Scissors and is really easy to pull off. Explain how to play Rock, Paper, Scissors to the group. Then explain that in this game you can only play with people who are the same as you: i.e. an egg, chicken, or dinosaur. Eggs can only play eggs, chickens can only play against chickens, and dinosaurs against a dinosaur. The kicker is they must walk or waddle in a manner that is befitting of an egg, chicken, or dinosaur. Participants all start as eggs. They must find another egg and play a best 2 out of 3 round of rock, paper, scissors, and if they win they become a chicken. When a chicken wins they become a dinosaur. If they lose a round they go back one level.

Lightsaber Duels

Participants must place one hand behind their back. They will then join in a battle with another person by locking their one hand with the other person’s hand. Students will then extend their pointer finger as their lightsaber. When the music starts they attempt to touch their “lightsaber” to the other person. They can “zap” them anywhere but they cannot bend their finger to complete a touch. If they are zapped they are out. The winner keeps advancing until only one remains.

Bucketball

This game requires some prep and a few quick items. Make sure you have buckets, cones, pinnies/colored shirts, and balls on hand before you play this game. For set up, place a bucket in the middle of a ring of cones for each team where one player (the scorer) will hold the bucket (approximately three feet in each direction from bucket to cone).

Divide your students into groups (we usually just do two but having more groups makes it interesting) and assign each group colored pinnies. The game is played in the same manner as ultimate Frisbee where the students must pass the ball down the field and are only allowed three steps with the ball. Points are scored by players throwing the ball (after three or more passes) to their scorer. The scorer will hold the bucket within the ring of cones and attempt to catch a ball in the bucket. Only balls that stay in the bucket count. The scorer may not go outside of the cone ring and the defense and offense may not go inside the cone ring. Feel free to add as many balls to the game as you would like.

Seated Basketball/Soccer

For this game you need a few items: chair, pinnies, balls, and extra leaders or students to collect stray balls. This game is played just like soccer or basketball in that the goals are the same which means you obtain points how you would normally (i.e. kicking a goal, making a basket). Divide your students into two teams and give them their pinnies. If you are playing soccer have the students remove their shoes to prevent potential injuries from kicking one another.

Have your students then grab a chair and give them 15-30 seconds to place their chair. Explain that this is the only place they may sit for the first half/quarter. Once they sit they may not move from that spot. When everyone has sat down introduce the balls for the game and explain that students must remain seated all the time, and failure to do so will put them in a penalty box. Explain that if no one can reach a ball it will be placed back into play by a leader. Assign times for your halves/quarters and then when a new one begins allow students to find a new spot to sit.

Cat and Mouse Tag

Have students pair up and link arms at the elbows. I would recommend not allowing them to hold hands or wrists as it can lead to injuries. Pick two students to start the game. Explain that one will be the cat who is it and will chase the other student who is the mouse. At any point during the chase the mouse can link up via their arm with a group and the person who is now on the outside is the new mouse. If the mouse is tagged then the roles are flipped and they are now the cat, and the cat is the mouse.

Death Sticks

Take some pool noodles and cut them in half and have your students each grab a chair. Place an odd number of pool noodles on an equal number of chairs in the middle of a large circle of chairs that your students make. Have each student sit in their chair. Then chose an odd number of students to stand in the middle that is equal to the number of chairs with noodles. Explain that this is a guy versus girl game (or however you would like it to be) where when the music starts the guys must take the noodle and bop a lady on her legs, and ladies must do the same to guys.

Once someone is bopped the person with the noodle must return the noodle to the chair they took it from (no throwing it must be placed) while being chased by the person they bopped. If the person who was bopped manages to retrieve the noodle when it placed down and bop the person who bopped them before they sit down in the vacant chair that person returns to the middle. If they cannot they are now in the middle and can bop someone. Winning team is the team with the least of their gender in the middle. And remember that a bop is a soft hit, not smacking someone hard with the noodle.

Quick Tip: It Never Hurts to Ask

“Hey Nick, if you ever need any candy for youth group, all you need to do is ask!” I’ll never forget that conversation with, at that time, a new leader for our middle school ministry. From that point on any candy needs we had, he covered them.

Whether it was providing candy for special events, chocolate bars for s’mores, or just a bag of candy on my desk as a thank you; candy was simply an ask away. But you know what that simple conversation helped me understand? All I needed to do was ask if I had a need.

But here’s the thing: in the past, I have struggled to ask when there’s a need. Whether it’s a pride thing, comfortability, a lack of awareness, or a combination of all the above, I struggled to ask.

Now guess what? When I started to ask, when I shared what our needs were, our church community rallied to our cause. I would never have considered asking about candy being provided, even though we live in an area that has multiple chocolate companies just down the street from our church. But because a volunteer approached me with a way to meet a need, it helped me remember something: the church is in this together and they want our young people to succeed.

So what could you ask for? Of course we all jump to volunteers because that’s what we all need. But what if we saw beyond that? What if we asked for people who would be willing to open their homes or prepare a meal? What if you shared needs for supplies and resources? What if you simply asked?

Over the past couple of years we have begun sharing our needs more openly and it has provided us with so many amazing new relationships, community engagement, and ways to better bless and care for our students and leaders.

Here’s the rub: asking someone for something isn’t bad. It is a huge asset and a way for the church to be the church. But even if the request is denied, remember to say “thank you” and don’t let it defeat you. Keep asking. Keep sharing the need. And watch what God will do through the church body.

5 Ways to Listen Well

Have you ever been a part of a conversation where it was obvious that the other person wasn’t listening? Perhaps you noticed a glazed look that came over the other person. Or maybe you were able to tell that you weren’t heard by the response the other person gave. Did someone continually try to tell you how to fix the problem but didn’t actually know what the problem was because they never let you fully share what was happening?

I think many—if not all—of us have experienced a time when we weren’t heard. But allow me to pose a different question within the same topic: have you ever been guilty of not listening well? Hits a little different doesn’t it? If we were all to take a deeper look into our own interactions we may notice that we are just as guilty of not always listening well.

So the question before us is simple to state but perhaps more complex in the intentionality we must implement: how do we listen well? I want to share a few simple ways to do this, but also to highlight that these aren’t fix-alls. It starts with our heart and intentionality in building authentic relationships that honor and dignify both individuals as we seek to reflect the love and personhood of Jesus.

1. Listen to understand not problem solve.

If you’re like me, you may be someone who wants to fix whatever problem you are given. However, some people just want you to listen, understand, and empathize with them. When we listen to fix the problem we will miss what the actual problem is, we devalue the other person by not actually listening to them, and we are looking to make ourselves the hero rather than just a friend. Instead we should listen to understand which values the other person and builds trust and rapport between both of you.

2. Ask clarifying questions.

Listening well means you are seeking clarity and understanding. In order to accomplish that well, we need to ask clarifying questions. This highlights that you were listening and that you truly want to understand what is happening as you walk in community with the other person.

3. Allow people to finish their thoughts.

I find myself often wanting to jump into a conversation before I should. I assert my thoughts before the other person has finished talking. I try to finish other people’s sentences, and I try to discern where the conversation is going before it actually arrives at that point.

But there is an inherent problem in all of these above things: it tells the other person their perspectives, thoughts, and insights do not matter because you have it all figured out. It actually devalues them and elevates us. Instead we should seek to truly listen and allow others to fully articulate themselves as we seek to understand.

4. Be fully present and not distracted.

It is so easy to get distracted during conversations. There’s things happening around us, different noises, technology, phones and watches buzzing, and a litany of other things competing for our time and attention. Many of us have experienced people being distracted while we talk to them and we know how that makes us feel. That means we should strive to do the opposite as we care well for our people.

We should be present and do whatever we can to minimize distractions. That can be switching on “do not disturb” on our devices, shutting a door, putting our backs to distractions, or anything else that will help us to focus and be present.

5. Be responsive.

When we are actively engaged in listening well, we should show that in our actions, reactions, facial expressions, and verbal responses. When we respond to what people say, it helps to highlight our engagement and attention to the other person. This comes through our body language, shifting our positions, leaning into the conversation, giving verbal responses, appropriate emotional responses, and making sure we are looking at the other person.

The more we listen well the more we will see our relationships flourish and grow in authenticity as we seek to love and value others.

Ideas for Celebrating Baptisms

Easter is an amazing time of year for Christians. Your church is probably gearing up for Good Friday and Easter services. In fact, this time of year is probably shaping up to be pretty busy for you and your church. I can relate to the busyness. Our church has extra services and it feels like it’s all hands on deck.

But one of the amazing things we do during the Easter season at our church is celebrate baptisms on Palm Sunday. It’s become a tradition within our church and it is a great opportunity to invite people in our community who don’t usually attend church to join us.

The individuals who get baptized invite their neighbors, friends, and families as they embody the mission that Jesus gave to all of us in Matthew 28. We then are able to invite them back the following week for Easter and connect them further with our church community.

I don’t know about your church experience, but as I was growing up baptisms were not necessarily celebrated. They happened in church services but were fairly muted in how people responded to them.

What I love about our church is that we have shaped our baptisms into a full service that celebrates and highlights what God is doing in the lives of our people. But how do we do that well? How do we elevate and celebrate the Great Commission within our communities?

Make it community-oriented.

One of the things we do is we encourage families, friends, small groups, and others who have been influential in the person’s faith journey to come up with them. They surround the baptismal and are there to show that they are for the individual and love them deeply. It’s an amazing picture of unity and fellowship within the Body of Christ and it is a wonderful encouragement to the person being baptized.

Create a unique service.

I know this takes more time and potentially more people depending on your church size. But what if the Spirit of God moves and 20 people (or more) want to get baptized? That happened to us and we had to radically alter the service. Our senior pastor was the one who stated, “It’s not that we aren’t having a sermon, it’s that we are having multiple sermons with practical application.”

Simply put: the testimonies are the sermon. It may mean shifting songs and service order. It may mean calling an audible and not having certain elements. But by creating a unique setting and elevating what God is doing, you are making the ordinance of baptism special for the people being baptized and your church overall.

Have a time of celebration.

This could be cookies and lemonade after the service. It could be a photo booth and balloons. Or perhaps it’s a church potluck or BBQ. Whatever way you choose, crafting a time of celebration helps your people see that baptism isn’t just a moment but is an opportunity to continue engaging with one another and sharing the Good News with others.

Have a gift ready.

I get it. Money is tight, and we are feeling it in our budgets. I’m not advocating for anything lavish or over the top. This could be as simple as a handwritten card. Perhaps you’re able to put a small gift card in with it. Maybe you can actually put together a small gift bag with a devotional. Whatever you’re able to do will make this day even more special and memorable for the people getting baptized.

Follow up.

After a couple of days, and when appropriate, ask the person out for coffee or lunch to catch up and see how they are doing. Ask questions about what they remember from their baptism. Ask them who they have shared their story with. See how you can continue to help them on their faith journey.

These moments of intentional follow-up highlight that the church and you care for these individuals and want to help them grow in their relationship with Jesus.

Tips for Communicating Expectations with Your Team

Have you ever felt like you didn’t know what was expected of you? Has a review ever caught you off guard? Were you ever confused when you found out you were doing smothering incorrectly?

I think most, if not all, of us have been there. We know the feeling of expectations not being communicated. We know those feelings and tensions. The sad reality is we may not be able to change how others, even our supervisors, handle those moments but we can decide how we approach them.

We can lead from the second chair and lead by example to our supervisors, but we can also lead well with our teams. That includes how we communicate our expectations. Today I want to share a few key ways we can do that well.

Think through how you’d like people to communicate with you.

When we reflect on how we want to be communicated with, that should impact how we communicate with others. We know what matters to us, we understand how we experience value and appreciation, and we know what makes us feel dismissed and unseen. Utilize that knowledge to guide how you communicate and express your expectations to your team.

Be clear in your communications.

Sometimes in an effort to soften our approach, care well for others, and (if we are honest) seem like the hero of our story, we can muddy our communication by adding more verbiage that isn’t necessary. Instead, what we need to do is be thoughtful and intentional with our words as we seek to be clear in our communications. Clarity is kindness, and when our communication is clear, our people have a better understanding of what is being asked of them.

Be clear with expectations.

Ambiguity never helps anyone. If we don’t give clear expectations, we will never be satisfied with the results because we haven’t set up our team to meet the expectations. We are setting our people up to fail and for ourselves to be disappointed and discouraged.

Instead, know what your expectations are and clearly communicate them to your team. I would strongly encourage you to consider putting your expectations in writing so that you have something you can come back to.

Never assume.

This is a big part of expectations. Often when there are unspoken or unmet expectations we can jump to conclusions about the other person(s) and assume various things about them. But this isn’t just with unspoken or unmet expectations, we do this even when expectations are clearly communicated. We assume motive or rationale or even heart attitudes and this is never a safe place to be.

When we start to play God by assuming, we truly make ourselves out to be the donkey that doesn’t know our head from our behind. In those moments we actually end up hurting others and ourselves by creating brokenness in the relationship, which can actually lead to loss of said relationship.

Honor your expectations.

One thing I would strongly encourage is that if you have expectations for your team, hold yourself to those expectations. We have all had experiences with leaders whose motto is “do as I say not as I do.” And if we are honest with ourselves, that type of leader is hard to work for and with. It’s a frustrating place to be and we know that tension well.

Instead, let me challenge each of us to be the leaders we desire and honor the expectations we give to our team. If we are asking for timely communication, we need to make sure we are doing the same. If you want your team to communicate in a certain manner, make sure you exemplify it. If there are office hours and out of office hours, make sure you reflect that in your schedule as well.

When a team is held to the same expectations and the leader is the first to hold to them, you will see a team that is unified and collaborative instead of divided and hurting.

7 Reasons to Conduct Mission Trip Interviews

It’s been a very busy couple of weeks for my team and me. We recently launched applications for our summer mission trips and now we are conducting interviews. That means a lot more hours added into our weekly schedules to be able to intentionally meet with each applicant before we confirm they are on the team.

I know some of you may read this and go, “You do applications and interviews for a mission trip?! That’s intense and a lot of extra work!” Believe me I hear you on that. It does add a little more weightiness to applying for the trip and it does add more to our schedules. But there very clear wins and benefits to requiring an application and interview.

1. It helps us know our team better.

This is a big one for me because of the size of our youth group. I don’t know all of my students as well as I wish I could, so these moments help me to get to know them on a deeper level.

Regardless of the size of youth group, interview and application questions help you understand more about your students, their faith journeys, their strengths and weaknesses, and their reasons for joining the team.

2. It provides insight into how we structure our training.

When you get to know your team better it allows you to shape how your training looks. If you know your team needs to be equipped in better interpersonal skills, you can incorporate team building moments that focus on communicating and relationship building. If your team needs to understand more about sharing their faith or ministering in a different environment, you can focus in on equipping them.

These interviews allow you to better understand your team and shape the training to make this trip the most beneficial for them.

3. It generates buy-in.

Having an application and/or interview process generates buy-in because it requires effort and intentionality on the part of the applicant. The process doesn’t need to be crazy long but it should require thoughtful and intentional responses and highlight the importance of the trip. These moments help to ensure your team has the right reasons for going and that they understand what is expected of them.

4. It humanizes the process.

Sometimes just going through a sign-up process or application can feel clinical. But when you add in a face-to-face interview it allows you to put the process on a more personal level and gives you the opportunity to be intentional with your students.

I have found that on applications and in interviews students are incredibly honest about themselves. That affords us the opportunity to truly care for and walking alongside our students in highly relational and intentional ways throughout the trip and beyond.

5. It allows us to see strengths and pressure points.

Part of my rationale in conducting interviews is it allows me to get to know my team better and it highlights pressure points and strengths that each member brings to the table. In understanding that, I am able to see potential opportunities and flare ups that may come up during the training and/or the trip itself. This helps me to both prepare and engage with those responses in proactive ways rather than having to be reactive in the moment.

6. It helps us prepare for interpersonal relationships and conflicts.

This is similar to the previous point, but it takes it a step further and looks specifically at the relational moments that will occur. If you’ve ever gone on a trip with students or witnessed them interact at youth group, you know that there are moments where there is tension, differing personalities, and conflicts.

Now put those components into the context of a mission trip. Emotions are heightened, spiritual growth is happening in rapid succession, students are confronted with their own humanity and necessity for God, lack of sleep, new environments, and all the feels and it can seem like a powder keg is about to blow up. But when you conduct interviews it enables you to see where those potential flare ups may be and therefore allows you to prepare and/or circumvent them beforehand.

7. It helps us as leaders prepare for the trip.

Mission trip interviews take a long time and add a lot more to my schedule. But hear me out on this: while it makes a few weeks busier for me, it actually makes the trips easier. Why? Because I am better prepared.

I know my team. I know more about what needs to be done to equip the team. I have a better understanding of what the dynamics will be during the trip. I have insight into each person and how to care well for them. All of these things empower me to be a better leader and to be more equipped to lead my team well.

Quick Tip: Giving Students Ownership

We are preparing for a special immersive experience the week before Easter for our student ministry. Our church creates a walkthrough Easter Experience that leads people through a wonderful interactive engagement with the story of Easter and the profound truths of the Gospel.

We have tried a few times to provide opportunities for our students to walk through the experience, but they haven’t worked out for a variety of reasons. This year we think we have it figured out: we are creating interactive stations and opportunities for our students to engage with what they learned alongside of their small groups.

One of the elements we are seeking to incorporate into this evening is a time of musical worship. But here’s the problem: my staff team isn’t equipped or gifted in leading worship. So we were faced with a conundrum: who will lead this?

Our worship teams are extremely busy with Easter, so we couldn’t ask them. Most people we talked to were busy that week. Then it hit us; we have students who are gifted musicians, so why not give them the opportunity? We talked to a handful of students and they jumped at the opportunity to serve and lead their peers in this way.

You want to know what happened in that moment? I was reminded that when students are given the opportunity, they will rise to the occasion. When presented with the ability to lead and disciple their peers our students are ready, willing, and capable to stand up and lead as disciples of Jesus.

Students are powerhouses when you give them the opportunity. Yes, they are young and immature. Yes, this may cause you a bit more work and require flexibility. And yes, at times they will fail. But how is this different from anyone else, including ourselves?

When given the opportunity, and with the right guidance, students can and will rise to the occasion. My encouragement today is simply this: give them ownership. Give them a chance.

When you afford students the opportunity to own their youth group you are generating excitement, buy-in, and unity for your ministry. Students who can take a leadership role will invite their peers. They will seek to help others be a part of your vision, mission, and values. And they will develop into the leaders you have been longing for.

This isn’t a mindset for a certain type or size of student ministry. This is an opportunity and a calling to invest in the next generation in tangible ways. This can and will look different from ministry to ministry, but we must ask ourselves if we are doing this.

Are we developing our students into leaders and providing them with ownership of our ministries? When we do this, we had better be ready, because I can promise you one thing for certain: God will move in and through these students and we will see them shake the world for His kingdom.

Quick Tip: Preparing Your Budget

Depending how your church’s fiscal calendar works, you may be in the early stages of preparing your budget for the next year. Our church just walked through preliminary budget conversations with each ministry and this year we had to start from scratch and account for each budget line.

This may sound tedious and scary, but our team has done well at tracking our budget and accounting for all of our expenses over the past few years so building from the ground up was not as difficult as it may seem. But when we heard that we had to account for everything and substantiate why it was needed for the ministry, it caused us to pause and wonder if budgets were going to be cut.

Typically budget meetings, especially for youth ministries, can be scary because we wonder if leadership will understand why we need to buy dozens of pool noodles, seemingly unlimited boxes of Cheetos, and hundreds of water balloons. But we promise, these are all absolutely necessary.

Kidding aside, these moments can feel super scary because there is a reason and rationale for why we ask for our budget, and we worry that if it’s cut our students and families will feel the fallout and affects. So how do we try to keep that from happening? Is there a way we can still maintain our budgets and find a way to help leadership see the necessity of what we are asking?

Well, today I want to share a couple quick tips that I have utilized when preparing a budget submission or conversation.

First, know why you’re asking for what your budget reflects.

Sometimes you’ll get asked questions about why certain line items are there or why exactly you’re requesting a certain amount for a budget line. Knowing your answers and being able to confidently share your reasoning will help to explain your budget and your rationale.

Second, aim high and shoot low.

My encouragement is to go into these meetings with a budget that you would dream of having. Don’t go in being greedy, but go in asking for what you’d dream of having for student ministries. In the same moment, go in with a realistic expectation as well. You may not be able to purchase three 9 Square sets, but you may be able to get one. That’s an example of aiming high, but knowing that the realities may be different.

Third, be a good steward of your current and next budget.

Part of being a leader in a ministry is practicing good stewardship. We need to appropriately manage the funds that God has provided us with through His church, and that means we need to steward our current and future budgets well.

We shouldn’t spend frivolously or haphazardly, but instead should honor our budget and let that be reflected in how we spend it. This may mean that questions or statements may come like, “You did okay with less last year,” but this is where we can explain why we are asking for something different this year.

Lastly, focus on what matters.

I am not saying to simply focus on what matters when you create your budget but also if your budget isn’t approved for what you wanted. When you build your budget for your ministry always do so with your vision and the Gospel in mind as you seek to love and care for your students and families. And should your budget not get approved or be altered, remember that budgets aren’t ultimate. Yes, they allow for us to do things and to scale the ministry, but they don’t allow us or keep us from fulfilling the calling God has placed on our lives.

Seek to work within the context and budget that has been stewarded to you and as you do that, remember that everything you have is a gift from God to you. With this frame of reference, our perspective and understanding of utilizing our budget is shaped differently and helps us to seek to honor God in all aspects of our careers.

Quick Tip: Knowing When to Cancel Programming

Have you ever had to wrestle with knowing when to cancel programming or even if you should? I’ve worked in a variety of church settings with different perspectives and rationales on this topic. Some advocated for never cancelling, some had specific parameters for when you should, and still others put the choice in ministry leaders’ hands.

Today, my desire is to provide you with some perspective for when you should cancel programming. Granted, this must align with your leadership’s guidance and perspective so this may not be as simple as just cancelling programming. It may entail multiple conversations with leadership prior to ever having to cancel. It may also mean trying to find a middle ground.

This post is simply meant to provide a framework for you and to help alleviate some of the guess work that goes along with cancelling. So when should you cancel programming?

When weather is a factor.

Depending where you live this may not be as big of a deal as it may be for others. Living in places that get snow, have hills, and are prone to drastic temperatures swings has left us having to cancel more than once. This isn’t because we are scared of snow, cold, ice, heavy rain and flooding. It’s because we are being intentional in keeping our students, families, and volunteers safe. If safe travel is an issue and if the weather is being uncooperative, it is best to cancel to keep everyone safe.

Lack of volunteers.

This is not to say that if you don’t have volunteers you can’t have programming. But if you don’t have enough to safely run programming and care well for your students, it may be necessary to suspend programming for that day.

When schools cancel classes and/or activities.

A great metric for cancelling is looking at what schools are doing. Did they close for weather? Was there an early dismissal? Are afternoon and evening activities happening? These are key metrics to help determine if you should cancel programming.

When there’s illness going around.

This is one that you need to keep an eye on because depending on the sickness it could spread quickly in your group. Many of us unfortunately learned this during 2020. But if there’s a stomach bug, the flu, Norovirus, Covid, or really any nasty bug it may be advantageous to cancel programming.

We have done this a few times because we had highly contagious bugs going around and rather than potentially add to the spread (and put our immunocompromised people at greater risk) we have opted to cancel.

Around holidays.

We cancel programming around Christmas and Easter because we know many families are extra busy, spending time with loved ones, and traveling. So from a programmatic standpoint it makes sense to cancel our gatherings. This also affords our volunteers and staff time to catch their breath and be with their loved ones on special days.

Culturally specific reasons.

We live and work in a tourist-heavy economy. This means typically during peak tourist season our locals tend to leave because tourists come in, which directly affects our ministry. Because of that we change how we do ministry in the summer months and suspend normal programming for the sake of summer programming.

You may have similar circumstances for spring break or Christmas break. Or maybe your community has different events and activities throughout each year that pull people away from ministry programming. That may be a reason to cancel.

At the end of the day, the safety and care of your people is paramount. You need to make a judgement call and know that in your heart it’s the best decision you could make. It may not always be the right one, but if you make it for the right reasons you have made the best decision possible.

Quick Tip: 8 Ways to Rest Before a Trip

Next week is our winter retreat which is typically the biggest trip of the year for our student ministry. There’s been a ton of prep work going into organizing, planning, and behind the scenes aspects that have been happening for months. In fact, this past week has been incredibly busy and stressful with final preparations and feeling the crunch of normal programming coupled with trip preparations.

I’ll be honest, this past week has been exhausting. I’ve gotten home every night, felt wiped out, and just want to veg out. As the weekend approached I knew I had to make a conscious decision to not do work and simply relax, spend time with Elise, and stay healthy.

The truth is just a few short years ago, that wouldn’t be the case. I would have been frantically checking emails, responding to calls and texts on my days off, I wouldn’t be sleeping well, and the stress would be overwhelming. After a much needed and forced period of rest, I’ve begun approaching ministry with a different perspective that is focused on maintaining my health so I can be a healthy leader.

With that in mind, I’ve approached trips and retreats differently. While yes, the weeks leading up to a student ministry trip is busy and stressful, that does not necessitate us compromising our health, time off, and time with family. So let me encourage you to actually find time to rest, relax, refuel, and prepare leading up to your trip.

But how can we do that well? Here some ways I have found beneficial:

1. Make sure to get plenty of sleep. We all know this doesn’t happen on trips, so start to give your body extra rest in preparation.

2. Hydrate and make sure your body has plenty of fluids. This is essential both before and during your trip.

3. Eat foods that are good for you and boost your immunity and overall health. Camp food is fun (said no adult ever), so preparing your body by eating well ahead of time is essential.

4. Take preventative supplements and vitamins. Gotta keep up your strength and stay healthy!

5. Spend time doing things that fill you and bring you joy. Your upcoming trip will be very demanding in multiple ways. Take time to do something for yourself to charge up ahead of time.

6. Make sure to be wholly present with your family. You’ll be spending significant time apart, make sure to do some things together before that happens.

7. Don’t do work. Yes, you’ll get frantic last minute texts, emails or calls. But someone else’s lack of planning or preparation does not necessitate an emergency on your part. A simple text response saying you’ll respond when you’re in the office will suffice. That may sound a little harsh or dismissive, but your time off and well-being is important and necessary.

8. Pray and spend time nourishing your soul. You’re going to pour out a lot on this trip, so make sure your pitcher (i.e., your soul) is filled so you can pour out.
