Quick Tip: Work Within Your Ministry’s Seasons

How does your youth group function year round? Does your calendar primarily look the same month in and month out? Are there rest periods or seasons where ministry slows? Is your attendance the same throughout the year?

As we approach the end of the school year, our student ministry at our church shifts its programming model to a more laidback style because we live in and serve a tourist town. What that means for us is lower attendance during the summer due to locals retreating on trips and vacations as tourists come in.

And you may ask yourself, “What about the tourists, don’t you want to have something for them as well?” The truth of the matter is that for all the tourists who visit Hershey, Pennsylvania, very few are looking for a church to attend on a Sunday or youth programming on a Wednesday evening.

It isn’t that we don’t care, it’s that we shift our model to address the realities of our community and best minister to our people when they are present. We host monthly large group gatherings that are highly relational and community focused. We intentionally encourage small groups to gather and share life together. Our staff team is highly visible and building relationships on Sundays.

The truth of the matter is this: each of the communities we serve in have ministry seasons and they all will look different. If your students are around the entire year, you may continue with programming straight through. If summer is a down time, you may switch up how programming looks. If you take trips during spring break, then your programming will look different.

For each of us, we need to look at the communities we serve and ask how our ministry is and should be functioning. We also need to consider other aspects like our volunteers and protecting seasons of rest and refreshment. There are additional pieces like thinking through the taxing role that running full programming yearlong will take on your facilities team. And there are many other questions we can ask depending on what out context looks like.

What we need to consider is how our ministry looks throughout the year, and what programming looks like in each season. When we step back and take an honest assessment, it allows us the opportunity to consider new and exciting ways of facilitating our ministries to best care for and reach all the students we are serving.

Ideas for Celebrating Baptisms

Easter is an amazing time of year for Christians. Your church is probably gearing up for Good Friday and Easter services. In fact, this time of year is probably shaping up to be pretty busy for you and your church. I can relate to the busyness. Our church has extra services and it feels like it’s all hands on deck.

But one of the amazing things we do during the Easter season at our church is celebrate baptisms on Palm Sunday. It’s become a tradition within our church and it is a great opportunity to invite people in our community who don’t usually attend church to join us.

The individuals who get baptized invite their neighbors, friends, and families as they embody the mission that Jesus gave to all of us in Matthew 28. We then are able to invite them back the following week for Easter and connect them further with our church community.

I don’t know about your church experience, but as I was growing up baptisms were not necessarily celebrated. They happened in church services but were fairly muted in how people responded to them.

What I love about our church is that we have shaped our baptisms into a full service that celebrates and highlights what God is doing in the lives of our people. But how do we do that well? How do we elevate and celebrate the Great Commission within our communities?

Make it community-oriented.

One of the things we do is we encourage families, friends, small groups, and others who have been influential in the person’s faith journey to come up with them. They surround the baptismal and are there to show that they are for the individual and love them deeply. It’s an amazing picture of unity and fellowship within the Body of Christ and it is a wonderful encouragement to the person being baptized.

Create a unique service.

I know this takes more time and potentially more people depending on your church size. But what if the Spirit of God moves and 20 people (or more) want to get baptized? That happened to us and we had to radically alter the service. Our senior pastor was the one who stated, “It’s not that we aren’t having a sermon, it’s that we are having multiple sermons with practical application.”

Simply put: the testimonies are the sermon. It may mean shifting songs and service order. It may mean calling an audible and not having certain elements. But by creating a unique setting and elevating what God is doing, you are making the ordinance of baptism special for the people being baptized and your church overall.

Have a time of celebration.

This could be cookies and lemonade after the service. It could be a photo booth and balloons. Or perhaps it’s a church potluck or BBQ. Whatever way you choose, crafting a time of celebration helps your people see that baptism isn’t just a moment but is an opportunity to continue engaging with one another and sharing the Good News with others.

Have a gift ready.

I get it. Money is tight, and we are feeling it in our budgets. I’m not advocating for anything lavish or over the top. This could be as simple as a handwritten card. Perhaps you’re able to put a small gift card in with it. Maybe you can actually put together a small gift bag with a devotional. Whatever you’re able to do will make this day even more special and memorable for the people getting baptized.

Follow up.

After a couple of days, and when appropriate, ask the person out for coffee or lunch to catch up and see how they are doing. Ask questions about what they remember from their baptism. Ask them who they have shared their story with. See how you can continue to help them on their faith journey.

These moments of intentional follow-up highlight that the church and you care for these individuals and want to help them grow in their relationship with Jesus.

7 Reasons to Conduct Mission Trip Interviews

It’s been a very busy couple of weeks for my team and me. We recently launched applications for our summer mission trips and now we are conducting interviews. That means a lot more hours added into our weekly schedules to be able to intentionally meet with each applicant before we confirm they are on the team.

I know some of you may read this and go, “You do applications and interviews for a mission trip?! That’s intense and a lot of extra work!” Believe me I hear you on that. It does add a little more weightiness to applying for the trip and it does add more to our schedules. But there very clear wins and benefits to requiring an application and interview.

1. It helps us know our team better.

This is a big one for me because of the size of our youth group. I don’t know all of my students as well as I wish I could, so these moments help me to get to know them on a deeper level.

Regardless of the size of youth group, interview and application questions help you understand more about your students, their faith journeys, their strengths and weaknesses, and their reasons for joining the team.

2. It provides insight into how we structure our training.

When you get to know your team better it allows you to shape how your training looks. If you know your team needs to be equipped in better interpersonal skills, you can incorporate team building moments that focus on communicating and relationship building. If your team needs to understand more about sharing their faith or ministering in a different environment, you can focus in on equipping them.

These interviews allow you to better understand your team and shape the training to make this trip the most beneficial for them.

3. It generates buy-in.

Having an application and/or interview process generates buy-in because it requires effort and intentionality on the part of the applicant. The process doesn’t need to be crazy long but it should require thoughtful and intentional responses and highlight the importance of the trip. These moments help to ensure your team has the right reasons for going and that they understand what is expected of them.

4. It humanizes the process.

Sometimes just going through a sign-up process or application can feel clinical. But when you add in a face-to-face interview it allows you to put the process on a more personal level and gives you the opportunity to be intentional with your students.

I have found that on applications and in interviews students are incredibly honest about themselves. That affords us the opportunity to truly care for and walking alongside our students in highly relational and intentional ways throughout the trip and beyond.

5. It allows us to see strengths and pressure points.

Part of my rationale in conducting interviews is it allows me to get to know my team better and it highlights pressure points and strengths that each member brings to the table. In understanding that, I am able to see potential opportunities and flare ups that may come up during the training and/or the trip itself. This helps me to both prepare and engage with those responses in proactive ways rather than having to be reactive in the moment.

6. It helps us prepare for interpersonal relationships and conflicts.

This is similar to the previous point, but it takes it a step further and looks specifically at the relational moments that will occur. If you’ve ever gone on a trip with students or witnessed them interact at youth group, you know that there are moments where there is tension, differing personalities, and conflicts.

Now put those components into the context of a mission trip. Emotions are heightened, spiritual growth is happening in rapid succession, students are confronted with their own humanity and necessity for God, lack of sleep, new environments, and all the feels and it can seem like a powder keg is about to blow up. But when you conduct interviews it enables you to see where those potential flare ups may be and therefore allows you to prepare and/or circumvent them beforehand.

7. It helps us as leaders prepare for the trip.

Mission trip interviews take a long time and add a lot more to my schedule. But hear me out on this: while it makes a few weeks busier for me, it actually makes the trips easier. Why? Because I am better prepared.

I know my team. I know more about what needs to be done to equip the team. I have a better understanding of what the dynamics will be during the trip. I have insight into each person and how to care well for them. All of these things empower me to be a better leader and to be more equipped to lead my team well.

Quick Tip: Knowing When to Cancel Programming

Have you ever had to wrestle with knowing when to cancel programming or even if you should? I’ve worked in a variety of church settings with different perspectives and rationales on this topic. Some advocated for never cancelling, some had specific parameters for when you should, and still others put the choice in ministry leaders’ hands.

Today, my desire is to provide you with some perspective for when you should cancel programming. Granted, this must align with your leadership’s guidance and perspective so this may not be as simple as just cancelling programming. It may entail multiple conversations with leadership prior to ever having to cancel. It may also mean trying to find a middle ground.

This post is simply meant to provide a framework for you and to help alleviate some of the guess work that goes along with cancelling. So when should you cancel programming?

When weather is a factor.

Depending where you live this may not be as big of a deal as it may be for others. Living in places that get snow, have hills, and are prone to drastic temperatures swings has left us having to cancel more than once. This isn’t because we are scared of snow, cold, ice, heavy rain and flooding. It’s because we are being intentional in keeping our students, families, and volunteers safe. If safe travel is an issue and if the weather is being uncooperative, it is best to cancel to keep everyone safe.

Lack of volunteers.

This is not to say that if you don’t have volunteers you can’t have programming. But if you don’t have enough to safely run programming and care well for your students, it may be necessary to suspend programming for that day.

When schools cancel classes and/or activities.

A great metric for cancelling is looking at what schools are doing. Did they close for weather? Was there an early dismissal? Are afternoon and evening activities happening? These are key metrics to help determine if you should cancel programming.

When there’s illness going around.

This is one that you need to keep an eye on because depending on the sickness it could spread quickly in your group. Many of us unfortunately learned this during 2020. But if there’s a stomach bug, the flu, Norovirus, Covid, or really any nasty bug it may be advantageous to cancel programming.

We have done this a few times because we had highly contagious bugs going around and rather than potentially add to the spread (and put our immunocompromised people at greater risk) we have opted to cancel.

Around holidays.

We cancel programming around Christmas and Easter because we know many families are extra busy, spending time with loved ones, and traveling. So from a programmatic standpoint it makes sense to cancel our gatherings. This also affords our volunteers and staff time to catch their breath and be with their loved ones on special days.

Culturally specific reasons.

We live and work in a tourist-heavy economy. This means typically during peak tourist season our locals tend to leave because tourists come in, which directly affects our ministry. Because of that we change how we do ministry in the summer months and suspend normal programming for the sake of summer programming.

You may have similar circumstances for spring break or Christmas break. Or maybe your community has different events and activities throughout each year that pull people away from ministry programming. That may be a reason to cancel.

At the end of the day, the safety and care of your people is paramount. You need to make a judgement call and know that in your heart it’s the best decision you could make. It may not always be the right one, but if you make it for the right reasons you have made the best decision possible.

Quick Tip: To Host or Not to Host a Big Game Party

Sunday, February 9, is coming. Do you have any plans? What about your ministry or church? Is this a big event for your ministry?

This is a Sunday that I enjoy each year. The commercials, the game, the fellowship, the food, and honestly the conversations that this Sunday fosters just makes it really enjoyable for me. When it comes to ministry on this particular Sunday, I have done it all: I’ve hosted huge outreach events, smaller gatherings, and then just hung out at home with Elise and enjoyed the game together.

None of these are inherently the wrong or right choice. When it comes to your church, your vision, and your community, you know what will work best for your group and ministry.

This isn’t a post to say, “Here’s the right way to do ministry on this specific day.” Instead it is a challenge to think through what is the most effective way to do ministry on this specific day, and how does it align with and strengthen your ministry’s vision?

When we host events like this, we need to think critically about the “why,” “how,” and “what” components. Why are we having this event? How does it align with our vision? How does it help us reach and retain our target demographic? What is its purpose? What makes this event worthwhile? How do we measure a win?

When we step back and critically assess those questions and consider how to best reach our students or church, then we will have an opportunity to reach more people.

I’ll be honest, I’ve moved away from larger gatherings in youth ministry world because we just haven’t seen the reward for the all the work and energy we put into that singular moment. Instead, we encourage small groups to gather together with friends and family and watch the game. That way each group can determine what their time looks like and shape their gathering to best fit their group.

Remember, you’re not trying to find or build a one-size-fits-all event. Instead, allow for organically created moments to build community and relationships.

Resource: A Fun Christmas Party Activity

This year at our Christmas Party we are bringing back an activity we took a risk on last year because it paid huge dividends. The activity: decorate your own Christmas t-shirt with the opportunity to win a prize for your small group.

Last year we went with Christmas hoodies but that proved to be cost prohibitive, so this year we switched to t-shirts. The excitement, expectation, and energy this competition created has blown us away, and so we want to share this with you as a resource you could incorporate into your Christmas parties.

The objective: Create a Christmas-themed t-shirt that will impress the judges and allow your team or small group to win the prize.

The rules: Teams or small groups must design and create a Christmas-themed t-shirt using only the elements on their table. They cannot bring in any outside elements. Teams may exchange items with the game host if there are additional items available. Teams will have a set time to create their shirt and when the time ends, a member of the team must be wearing it.

Penalties: Teams lose points for using outside items, not having the shirt on at the end of the build time, having items on the floor (trust us, your facility team will thank you), not listening, or whatever else you’d like there to be penalties for. The judges can choose how many points to deduct for each offense.

Judging: Each person wearing the t-shirt gets 30-60 seconds to present (think runway style) their group’s design and explain why they should win. Judges will confer and choose the team they think has won. Judges can use scorecards to rank the teams in different categories (most unique, most likely made by someone’s grandmom, most over the top, most annoying, etc.) on a scale from 1 to 5. Judges can deduct points throughout the competition for penalties.

Prizes: We decided last year to incorporate a prize that we could reuse each year that would allow students to have a lasting legacy at our Christmas parties. We found an inflatable snowman that we have the winning groups sign with markers. We bring it out each year for everyone to see past winners and for the new winners to sign.

Variants: We are incorporating a new element this year. Teams can win advantages by participating in two additional competitions. The first competition is a lookalike contest where they need to do their best to look like a member of our student ministry team. The winners of that competition receive a golden gift box of extra supplies that only their team can use. The other competition is the team who brings the most first time guests gets a time advantage.

Supplies: We use large or extra large t-shirts with a variety of decorations including bells, tinsel, ornaments, bottle brush trees, fairy lights, jingle bells, pipe cleaners, bows, ribbon, and any other fun dollar store or Amazon items. We also make sure to have glue guns and glue sticks to attach the items, and we found these for a good price on Amazon a year ago. Lastly, we got some multicolored fabric markers to allow teams to draw and write on their shirts. The key is utilizing fun elements that are inexpensive.

5 Steps to Picking Curriculum

When it comes to what you are teaching, have you ever stopped to ask why you’re teaching what you are teaching? Or have you ever thought about the purpose of the lessons as they pertain to your vision and mission? Does what you’re teaching align with the general flow and direction in which your church is going? How does what you are teaching actually impact your students and help them to think about both internal and external applications of biblical truth?

Phew. Sounds heavy doesn’t it? You probably thought we would simply tell you to pick and teach what best suits your students. Yes, there is an element of that which is true, but we must be more intentional and thoughtful in what we choose to teach and why. Let me share with you some things to consider when choosing a curriculum and the direction it will take your students.

1. Choose a curriculum that will meet your students where they are at.

Each ministry is different and knowing what your students are experiencing and what they need will greatly increase your opportunity to reach and care for them. For instance, if your students are wrestling with grief and loss it may be a good idea to dig into a series on the Psalms or the hope that God offers us.

2. If using pre-made curriculum, don’t use it as is.

This is a big thing I always encourage younger youth pastors with: if you purchase a curriculum don’t just use it as is. Tweak it to reach your students. Make the stories and illustrations your own. Update the Bible passages to the translation your group uses. What you are doing is making this personal and relatable to both yourself and your group which helps them engage and process what is being shared at a deeper level.

3. Make sure your curriculum aligns with your mission and vision.

This is a big piece of choosing your curriculum. If it doesn’t align or communicate the heart and vision of your ministry and church, there’s a good possibility you shouldn’t utilize it. So be aware of what you’re selecting by reading through descriptions and content. Weigh the main points and applications and consider the implications for your group.

4. Look for opportunities to take your students deeper and wider.

Some curriculum can be pretty light on content and depth when it comes to Scripture and its application. In order to help your students grow and develop as disciples of Jesus, it is important to challenge them and have them think critically about what God’s Word says and its application for their lives. That means choosing and crafting curriculum that will challenge them to do just that. Pick topics and content that challenges their way of thinking, pushes them outside of their comfort zones, and helps them to think deeper about who they are in Christ.

5. Be willing to make your own.

Ultimately you know what your group needs to hear and you know your context and setting. That means you can discern what curriculum your group needs. But the reality is that sometimes there isn’t a curriculum that works for what is needed in your context. So, be willing to make your own when needed. Yes this may be more labor intensive but it may be the best thing for your students.

Quick Tip: Prepping for Fall Kickoff

Depending where you’re at in the country, it probably doesn’t feel like fall right now. Here in the northeast it’s been fairly warm and we haven’t seen a lot of rain. We have been utilizing our summer programmatic schedule and just finished our trips at the end of July.

Coming up, we still have a lot of activities and gatherings planned for August, but fall programming is just around the corner. Fall sports have started practicing, kids are preparing for classes, families’ rhythms are being reestablished, teachers are preparing classrooms, and it feels like summer is quickly fading away.

As fall approaches that means we are engaged in planning and preparation for the school year, and for us we start our Wednesday night programming with a celebratory fall kickoff. We host an invitational and relational gathering that is filled with high energy, connecting opportunities, and lots of food. It’s a total blast and helps us set the year off with a bang!

Your fall programming and your kickoff may look vastly different from ours, however there are some key elements every fall kickoff should have. So what are some ways to ensure that your kickoff is a success?

1. Ensure it aligns with your vision and mission.

Whatever your event looks like, you need to make sure it highlights and champions your ministry’s values. This comes through in what the event is, how it is structured, the scope and sequence of the event, how it’s communicated, and what the message is for it. This ensures that everything aligns and is communicated in all that you do.

2. Create the environment that fits your programmatic structure.

There were many times earlier in my ministry career where I attempted to pack as much as I could into whatever event we were hosting. When you try to squeeze three hours of fun into a two hour event, something falls flat and people will miss out on things. Instead, I’ve learned that for our structure, less is more.

This means more time spent hanging out and building community instead of super structured games or activities, followed by an equal distribution of time for a message and small groups. Whatever environment you are going for, make sure that you align it with your program overall to ensure that your mission and vision are communicated through everything you do.

3. Connect students with their leaders and peers.

Fall kickoff is a wonderful opportunity to connect and reconnect students with their small group leaders and other students. Students crave community and authentic relationships. If you intentionally create an environment that embraces those aspects you will see your ministry start off on very strong footing heading into the school year.

4. Cast direction for the school year.

An integral part of your fall kickoff should include casting direction and vision for the school year. You should seek to incorporate your vision for the ministry and allow for that to drive the direction for the school year. In our ministry we will always talk about our vision for the ministry but we will use that as the catalyst for our direction for the school year.

Part of our vision statement has to do with “being sent to build the kingdom of God,” so the past couple of years we have challenged students to invite and reach their peers. When you can incorporate your ministry’s vision with the direction for the school year, you will be creating consistency throughout the ministry.

5. Have fun.

While this may seem like a no-brainer in student ministry, we need to be intentional in this. We aren’t supplementing the Gospel or discipleship in doing this, but instead creating an environment that is intentional in how we welcome, engage with, and care for students.

Typically fall kickoffs happen during our midweek programming which tend to be more invitational and evangelistic and so having an environment that is fun will encourage more students to participate and invite their peers. This is also an encouragement and reminder to us as ministry leaders and for our volunteers. Students see how we engage and respond and they will reflect that. So having fun, engaging, and displaying Jesus as we have fun is key.

    Quick Tip: Preparing Yourself for a Trip

    Let’s just pause for a moment and consider how all-encompassing student ministry trips are. If you’re the primary leader you’re in charge of everything. Organizing transportation, collecting and distributing medications, handling first aid, making sure students are following the rules, pouring into leaders, making sure curfew is followed, engaging in discipleship and relational community, tackling tough questions and circumstances, handling administrative tasks, and so much more! These trips can truly take a lot of planning and organization, but they also can take a lot out of you physically, emotionally, spiritually, and mentally.

    Trips require our holistic presence and as a result, they can deplete us rapidly. While I don’t yet have a miracle booster to rebound from trips, I can tell you that proper personal planning leading into the trip can do you a world of good that will help you lead and live well, and prayerfully bounce back soon.

    1. Rest well before you leave.

    This is so important because leading up to a trip it can be all go, go, go. But that can lead to a lack of sleep, more stress, and more anxiousness. If you take the time to rest and sleep well, it will help you lead well on the trip and be able to give everything you need to while you’re serving your students and teams.

    2. Be preventative when it comes to illness.

    Trips are notorious for sickness. Every youth pastor has a story about their students getting rocked by illness on a trip (ask me about the time norovirus hit our winter retreat), but there are steps we can take to stay healthy. Rest and sleep, hydrate, eat good meals, take preventative medicines like Airborne or EmergenC, and drink things like herbal teas and kombucha to help your body gain natural boosts. Also make sure to wash your hands regularly, especially before eating anything.

    3. Have a plan and stick to it.

    When it comes to preparing for a trip, it’s important to plan things out so you can reduce any anxiousness in the prep period and ensure that you’re not forgetting anything. Plan when you’ll communicate to your team, plan how and when you’ll communicate with families, plan what to pack, and plan down time for yourself.

    While some of this may seem a little excessive, when you create structure and stick to it you are allowing yourself space to breathe and acknowledge you have completed all you need to. This helps to relieve stress and anxiety.

    4. Pack your essentials and everything you need to lead well.

    There are two types of packing we do as leaders of the trip: packing for the team and packing for ourselves. When it comes to packing for yourself, pack all the things you will need. Think about things like personal snacks, power strips, phone chargers, a camera, medications, ear plugs, clothing, and whatever else you may need.

    When it comes to your team, think about not only what your team will need on the trip, but also ways to encourage them and lead well. Things like prayer journals, candy, fidgets, extra Bibles, coffee and tea for leaders, snacks for leaders, Bible studies, sharing the Gospel tips, and whatever else will help you lead, shepherd, and care well for your team.

    5. Stay organized and communicative.

    This ties into point 3 well, but the more organized and communicative you are, the better the trip will function overall. This isn’t a foolproof way to ensure a perfect trip but it is a way to ensure everyone is up to date and informed. That helps to make sure that plans are followed and understood which helps the trip to function well and for everyone to know what is happening.
