8 Tips for Generating Early Sign-Ups

Have you ever tried to get students to sign up for a trip? Have you ever received that last minute phone call, text, email, or DM asking for a student to be allowed to go? Have you been in that situation where its the week of the trip and only one student has signed up for a trip and you may have to cancel?

I get it. We have all been there. Getting students to sign up early, let alone on time, is extremely difficult. For many years I just assumed this was the norm in student ministry, but it doesn’t have to be. There is a way to make it work. I want to share some tips on how to achieve earlier sign-ups and increase them overall.

I should note that you won’t see changes overnight. In fact it may take a couple of semesters, trips, or years for changes to be seen. But don’t get discouraged. Stick to your values, keep the rules you set, and see what happens. Actual change will take time and if you begin to implement these tips it may just help move that change forward in the right direction.

1. Cast vision early.

This is something I learned early on in my tenure in student ministry. It is important to share the what, the how, and the why. If you are asking for students and families to have buy-in to what you are doing, talk about it as early as possible. Communicate why you are going on this trip. What will be the result? What will happen in students’ lives? How will this trip be paid for? Why should a student go? Why is this important in their spiritual journey? Answering these questions early on will allow for families to better plan and prepare for what you are doing, and it will generate buy-in.

2. Be excited about the trip.

Have you ever started at a new church where you had to take students on a trip to a place you had never been? I have, and I will be honest: it was hard generating excitement about going somewhere I had never been. So instead of talking about just the logistics, I shared about what I was looking forward to. I shared pictures and videos of where we were going. I tried to make travelling overnight sound like an amazing adventure (and it was an adventure). My point is this: if you aren’t excited, or you talk about the trip begrudgingly or with no emotion, why would you expect students to go? Get excited and let your excitement bleed into your students as you prepare to go.

3. Know what you are talking about.

This is a big thing to remember. Make sure the information you are sharing is accurate and clear. I will admit that sometimes I have shared inaccurate information and it has kept students and families from signing up. I have been actively looking to better communicate and share what I know to be correct information. In fact, if I don’t know the answer I let them know I will find out and share it with them as soon as I do. This actually helps me be more intentional with communicating with the host site or camp. I ask better questions and get their vision for our trip and that allows me to share more accurate information with my people.

4. Communicate with parents.

Have you ever felt like parents don’t know what is happening? Or have you ever received the email that claims they knew nothing about your upcoming trip or retreat? The reality is that there will always be communication that is missed, but what we should be looking to do is over-communicate.

Think about it: parents have hundreds of emails coming to them all the time. They are seeing all the stuff you are on social media and probably even more. They are trying to balance school activities, sports, social lives and so much more. Be willing to give grace when appropriate but also seek to communicate ahead of time through multiple outlets, and continue to send out communications. Consider hosting a plenary parents only meeting to share about what is coming up. No, you won’t get every parent on your first go-around, but the number will steadily increase as they see your passion and desire to share. The more parents know, the more your students will know, and the more sign-ups you will get because you are all on the same page.

5. Have an early bird sign-up.

Want to guarantee more sign-ups? Work within your budget to have an early bird deadline. Most camps and retreat centers already have that, which is why we preregister so we can save money. But what if you offered the early bird price that you paid for a certain period, and then the price went up to the actual cost (the cost it would be if you hadn’t preregistered)? Now you are generating a desire for students and parents alike to save money. This almost guarantees sign-ups because no one wants to pay extra if they don’t have to. And you are not simply upping the price for the sake of doing so, but from an ethical and moral standard you are keeping it in line.

We do this for all of our big trips. We figure out the lowest possible cost and offer that as the early bird. Then we adjust the rate going forward in accordance with the up-charge in the conference fee. We offer four different payment times: early bird, regular, late, and last minute. At most we have three to five late sign-ups and maybe one last minute because of the price differential. Not only does this generate sign-ups, it also alleviates a lot of stress. Planning appropriate deadlines affords you the ability to collect registrations in a timely manner.

6. Offer a payment plan.

Let’s be real: for some families, paying for longer trips is taxing financially. We get that. If you are asking a family to drop a thousand dollars right away for a trip, you won’t get many sign-ups. If you present a payment plan instead, and give them a means to an end, you will allow families to participate with less financial burden up front. If you have different sign up times you will need to have a plan for each one, but again, it allows families to see how much they owe and when, which can ease the burden.

7. Don’t allow late sign-ups.

This is a big thing for me. I used to always allow people to sign up late. I would hear their reasons why they hadn’t, I would see the change this trip could bring about in a student’s life, and I understood being busy. But what I didn’t see was that I was cultivating a culture where rules, guidelines, and timing didn’t matter. It added stress and tension to planning a trip and going on it. That student didn’t have buy-in like everyone else. Recently we made the decision to not allow late sign-ups unless extenuating circumstances applied. This is a tough stance to hold and there were parents who pushed back. But we shared our reasoning and heart behind it, and when communicated effectively beforehand, parents will see that the were ample opportunities to sign up earlier.

8. Host a scholarship program. 

Regardless of whether there are payment plans or not, you will always have families who cannot afford to pay for trips. Please consider offering scholarships for those families. It may not be a full ride, but even a little may allow for a student to go who originally couldn’t. This may mean getting creative and reworking your budget to put money aside for scholarships, or hosting a sponsorship event at your church, or even seeing if the church would consider taking a special offering. Any time you can help a student go to a camp, trip, or retreat could be life changing with eternal results. So think about how you can help get students to camp who need the financial help.

5 Ways to Improve Volunteer Communication

Let’s face it: without a team of volunteers it is exceptionally hard to run a student ministry. It gets harder still if that team doesn’t know the plan.

I have often found that a team functions best when there is a clear plan and goal because of clear communication. If I am being honest I am not always the best communicator when it comes to planning and sharing what is happening.

This is a place I am constantly looking to grow in, and as such I wanted to share with you a few ways to enhance communication with your team. I have had to learn to do these things and honestly have learned a lot through mistakes. Most of these are digital, but some are face-to-face as well because both are extremely important.

Ask your team how they communicate.

I have a questionnaire I ask my leaders to fill out (both new and returning leaders) and I ask for their preferred means of communication. This allows me to see how they communicate and be able to utilize the best forum. It also highlights any issues that may develop if someone doesn’t use a certain method. Some of my leaders only use WhatsApp and because it is only a couple of people, I make the effort to communicate with them there if I text the rest of the team.

Choose your medium and use it.

As youth workers we are forever surrounded by new and different ways of communicating. But if we continue to switch it up on our teams, they will never know where look. I had a volunteer during my first year at church who would respond to my emails via text. It wasn’t ideal because when I would be looking for information from them, I wouldn’t know where to go. I finally sat down and made it clear that the main way I communicate is email for standard youth group stuff. If it is an emergency or a day-of change it would be via text or phone.

My teams know this is the standard case, and as such they are expecting my communications via these platforms. It has helped to streamline our communication and works well for sharing information. Choose whichever way is best for you, and stick with it. If you do change it, communicate that to your team.

Be consistent.

A big thing I have learned is that when we say we are going to do something, we need to do it. Don’t promise to communicate via email and then switch to text. Doing this not only confuses leaders and doesn’t communicate well, it also creates a lack of trust in what you are doing. Be consistent, and if change needs to happen, bring your team in before you make the change.

Communicate early.

We plan out our schedule a year at a time. Typically this is during late spring and we are able to get that information out to leaders before the start of the new school year. They see when we have events, trips, retreats, and we also note when we do not have youth group. This allows our leaders to prepare for the year and know what is coming; there are no surprises.

I also make an effort to get our small group resources and plans out to leaders at least 24 hours ahead of youth group so they can prepare for the evening. I send the schedule, notes, and the questions for small groups so leaders know what is happening, what is expected, and they have the ability to mentally and spiritually prepare for the next day.

Communicate in person.

Much of what has been shared has been about digital communication, but we cannot overstate the value of face-to-face communication. Those are the moments when you get to truly shepherd and care for your people, and you get to cast vision and passion for the ministry as well. Take time to communicate clearly, answer questions, and receive feedback. We should never undervalue our leaders and must always seek to be with and for them.

Becoming a Better Leader

Being an effective leader means we must continue to grow and learn so we can better minister to those under our care. Leading isn’t just about being the face of a ministry or the main teacher, it is also about caring for those under your leadership.

Looking back at my ministry career I have seen areas that I have grown in and I want to share some of them with you. Now please hear me on this: I didn’t learn all of these things right away. Most of them were through difficult moments, some of which were my fault. But in all of these moments I hope that you can hear some advice and avoid the missteps I had.

None of these in and of themselves will make you a better leader, but put them together with a desire to be used by God and for God, and you will see Him use you in mighty ways.

Listen.

A big part of growing in leadership is growing in listening. Listen to your leaders, your team, your students, your superiors, and families. I am not saying that everything everyone says is going to be beneficial or helpful, but if people truly care about you and the ministry, they will seek to help you. So listen and be willing to let go of pride in order to grow and become who God is shaping you into.

Learn.

As a leader you should never stop learning. Our mission and foundation never changes: make disciples by communicating the Gospel. However, new ways of ministering, cultural shifts, advancements in technology, and many other areas are always adapting and evolving. We must be willing to learn and become better. If we ever stop learning as a leader, or believe we know it all, we will become ineffective and arrogant.

Shepherd.

If I am honest with you, this is a place where I have fallen short. At times I have allowed myself to focus on growth, establishing the program, and running everything, but I have forgotten to actually care for and guide my leaders. If we are not caring for our people, if we are not intentionally sharing life with them, we have missed the mark. Our ministry is to shepherd others as Christ shepherds. We need to love and care for our people in the valleys and the mountains. This has to be a priority in order to establish longevity in ministries and churches.

Grow.

This is similar to continual learning, but it takes it a step further. Be willing to challenge and push yourself. Try new things. Experiment. Step out in faith. Take risks. Part of growing is seeking to discern where God is calling you and the ministry you lead. How are you growing as a leader? Who is challenging you? How are you challenging yourself? Model growth and watch it replicate itself in your ministry.

Lead.

Be the leader God has called you to be. Sometimes it is easy to get in our own heads, to hear the attacks of the enemy, or to allow a critique to break us down. Do not stop leading. God didn’t empower you with His Spirit so you could sit on the sidelines. He established you as His child, called you into His service, and has put you where you are for such a time as this. Lead and lead well. Never out of pride or arrogance, but lead as Christ led. Lovingly disciple and guide the flock and empower others to lead with you. Remember that being a leader doesn’t mean doing everything. So be willing to grow and enable others to lead and shepherd them in those roles.

Retreat.

I have written about this before, but make sure that you are retreating and taking time away. Taking a break is healthy and necessary. Jesus retreated often to pray and reflect. God rested after creation. If God models this, shouldn’t we follow His example? Take advantage of your vacation time. Retreat and refresh. Shut off your laptop and phone. Spend time with Jesus. Be present with your family. Doing this not only will refresh you, but will also model an example to others of a healthy lifestyle, ministry, and relationship with Jesus.

Step back.

Assessing your ministry and your role is not a bad thing. In fact it is extremely healthy to do an assessment periodically. See what is working and what isn’t. Think creatively. Bring in new voices. Listen to people who are invested. Doing this allows you to have a fuller view of your ministry and to make the necessary changes.

Should I Use Curriculum?

One of the questions I am most often asked is: do you use a curriculum when you craft your messages? This questions and others like it constantly pop up in forums, Facebook groups, and in youth worker gatherings as people try to navigate whether using someone else’s material is appropriate, and if they do, how to incorporate it well.

To answer the above question, sometimes I use curriculum and other times I craft my own messages, it just depends. Honestly, choosing to use a curriculum is a choice each person will need to make on their own, but I can say that it is okay to use it. You shouldn’t feel bad for using a pre-made lesson or series. These are resources to utilize that will help you grow, mature, and be a better youth leader. But in saying that, there are a few guidelines and principles that I think should be followed when using a curriculum in order for it to have the best affect on your students.

Plan ahead.

Work ahead on your schedule as much as you can so you aren’t trying to get curriculum for this week, or tomorrow night. By doing this you remove the pressure of finding the best curriculum for your program in a short amount of time, and you give yourself breathing room to pick something that is best for your students and what you are looking to create. Don’t pick a curriculum to just fill the space, but be intentional in what you choose and why you choose it. Build it into the mission and vision of your program so that it all flows together well.

Vet the curriculum.

Make sure the curriculum is solid before choosing to use it. I cannot tell you how many times I have heard people say that they purchased a curriculum site-unseen in hopes of using it that week and it turned out to not be worth what they paid. Look for reviews or previews of the curriculum. See if other people have used it before. Purchase or gather your curriculum from trusted sources. Some great online sources for curriculum include Leader Treks, Download Youth Ministry, The Source 4 YM, Orange, YM360, YouthMin.org, and Group Ministries.

Read through your curriculum.

Once you have the material you are using, take time to read through the entire curriculum. Look at the resources they give you, see how many lessons they provide, look into how they utilize Scripture, and make notes and tweaks to the material as you read through. Often when I am reading through curriculum I look for where there are personal stories or phrases that only relate to the author’s audience and note them so when I am preparing my lesson I know to change them.

Know your audience.

When using a curriculum, remember who you are using it for. I have heard people use a curriculum and reuse someone else’s stories or examples word-for-word. Typically what happens is the stories fall flat, students disengage, and you can instantly tell that the message is not having the desired effect. What I suggest is knowing your students and shaping the curriculum around them. Take the material and make sure it is relatable and translatable to your audience.

Use the curriculum as a springboard.

Whenever I use a curriculum I never use it verbatim. I look for the big ideas, the translatable concepts, Scripture passages, and key points. Then I look to shape those areas around a lesson I craft; I take the meat of the curriculum and shape it for my context. This does take a little more time, but I would never advocate for simply reading from a pre-crafted message because it feels disconnected. Crafting a lesson from a curriculum saves you time while also allowing you to put your own heart and passion into the message.

Building a Meaningful Schedule

Scheduling events: you either love it or hate it. I have been on both sides during my time in ministry. Some ministries had schedules that were fluid and never held to, and others that held so strongly to them that everything was figured out to within a minute.

Regardless of whether you like schedules or not, they are important. Our lives outside of ministry are often run by schedules, and students and parents value schedules, consistency, and structure. I have learned over the years that having a schedule not only helps to provide structure and support to students and families, but it also helps your leaders to know your plans, have buy-in, and see that you are someone who keeps their word.

Building a schedule can seem overwhelming or difficult, so as we move into a new year, I would like to do two things to help with that: give you some steps to follow in making a schedule and also provide you with two that I use.

Shape it around the priorities.

In order to have a proper schedule, you must shape it around the priorities of your ministry. The reason schedules often fail is because the priorities aren’t driving it and therefore the priorities become muddied and devalued.

So step back, look at your ministry, identify the areas you are passionate about, focus your time-frame around them, and build outward. If you value games and community they should hold the majority of your ministry time. If you see small groups as being the most important, show that through the time you allot. Shape the ministry around the priorities.

Assign appropriate amounts of time.

One area I see churches as whole struggle with is assigning appropriate amounts of time to different aspects of their schedules. Whether it is giving offering too little time in Planning Center, or not allowing the time it takes to calm students down after an amazing game that “didn’t involve eating marshmallows,” you must allow for the appropriate time for each activity or portion of your schedule. In fact I would encourage you to overestimate on time, which will give you a little buffer. If you know you tend to run long in teaching, give your teaching time an extra five minutes, which will allow you to better shape the rest of your schedule.

Allow time for transition.

This is usually something that we miss in crafting schedules, and honestly one I didn’t see until a leader brought it to my attention. When you are managing a youth group, you know that in transitioning from games to teaching or teaching to small groups, there is always some time lost. When I stepped back and saw what my leader was sharing I began to adapt my schedule to reflect the transition times. That of course meant I lost time elsewhere, but it allowed for me to focus on the priorities and trim areas that could be trimmed without compromising the mission and vision of the program.

Know the space.

This may seem like an obvious statement, but when you are building your schedule, knowing your space is key. If you are using an unfamiliar space for an outreach or special event, you have to acknowledge that there will be timing issues due to the unfamiliarity. So build in a buffer for those moments.

Be willing to be flexible.

I know after talking about scheduling and making sure the timing works, saying “be flexible” almost seems counter-intuitive. But we all know that rarely do schedules go perfectly. Be willing to allow for flexibility and to go with the flow to some extent. If your teaching time is delayed because you’re engaged with a student in a heart-to-heart conversation, allow the Spirit to work and be flexible. If a student gets injured during a game, acknowledge timing for the evening will be off and that is okay. If your teaching is shorter than planned, give more time to small groups. Flexibility within a schedule is key and will allow for a more relational component to what you are doing.

Allow for God to move.

Have you ever felt that your best laid plans fell through? Has your message ever gone too long or too short? Have you ever felt like people didn’t get the point? Me too! But so often that is where I see and hear of God moments. These are moments where in spite of our best planning and humanity God moves in ways we would have never seen coming. That doesn’t give us the freedom to not have a schedule or to constantly change it, but to understand there are moments when God steps in and that is good. It isn’t an excuse but an acknowledgement of God working in and through us.

Consider using scheduling software.

Our church uses Planning Center for scheduling and it is a lifesaver. It lets you schedule people to specific roles, allows them to confirm or decline their roles, allows you to create templates, and to build in pre- and post-service needs like setup and tear-down. Most planning software does cost money, but if your church uses it elsewhere, like for Sunday services for example, then they should be able to create a user account for you as well at no added cost.

Bring your leaders into the process.

Cast the vision for what you are doing and share your heart for the way you are shaping the schedule. Allow your leaders to offer insight and critique in order to build the best schedule for your group. This not only allows your leaders to have a voice but now they share your vision and passion. This creates a unified front, you will have multiple people who are helping to craft your programming, and they understand flexibility and the purpose behind what is happening.

So what does this look like practically? Below are our high school schedules for Sunday morning, which is more focused on Christian education, and Wednesday night, which is our main youth group evening.

Tips for Generating New Ideas

There are times in ministry when we can become stuck in a rut. Whether it’s the way we’ve always done things, or we just become complacent, it can be hard to make a change. Or we may want to change things up, but we struggle with where to start.

Today Nick and I will share some tips with you on coming up with new ideas, particularly for your student ministry. Brainstorming is a critical step in coming up with new concepts, which you can then evaluate for their viability and application to your specific ministry context.

Idea dump in an environment that encourages your creativity.

Set aside a block of time, go to a location that stimulates your creativity, and list every idea you can come up with. Don’t leave anything out, even the ideas that may seem “dumb” or impossible. Sometimes those ideas will lead to something even better. Don’t worry about evaluating your ideas, just get everything written down.

Consider your culture.

It is important to brainstorm within in the context of your ministry, community, and demographic. In doing this, you will be able to identify areas for success, eliminate concepts that are counter-productive, and find key ways to engage your ministry and the people you serve.

Don’t just replicate what everyone else is doing.

As you’re working on brainstorming, you may be tempted to look at what other ministries are doing and replicate their concepts. While some ideas may translate to your context, merely replicating someone else’s ministry formula will ultimately disregard  your unique gifting and ability to assess and direct your specific ministry. It doesn’t hurt to look at another ministry’s formula for ideas, but it is essential to evaluate them within your unique context.

Categorize your ideas.

After you’ve listed your ideas, categorize them based on your context. Compare your ideas to your missional philosophy and see where they might fit within your ministry. Use this step to consider where you would apply each of your ideas, and whether or not they would work for your specific context. Don’t be afraid to reconsider or eliminate ideas that won’t be applicable to your ministry.

Listen to your leaders and students.

It is beneficial to ask for ideas from others who have a vested interest and are actively engaged with your ministry. Bringing them into the process not only validates and encourages them, but helps to give them ownership of the ministry. We would suggest meeting with leaders and students for separate brainstorming sessions.

After you’ve collected each group’s ideas, compare them to one another as well as to your ideas, assessing which are viable and could be implemented within your context. It is also beneficial to keep both groups informed on what you are doing moving forward. This will help to further their buy-in and validate their involvement within the ministry.

List your resources and needs.

We can often be blinded by lack of resources which keeps us from seeing what we actually have. It is important to inventory your resources (i.e., your budget, supplies, personnel, venue, etc.). Be willing to think outside the box when it comes to your resources and look for additional options you may not have considered.

It is helpful to identify your needs so that you can ask for assistance in those specific areas and look to allocate portions of your budget when appropriate. Identify the skill sets present within your congregation and don’t be afraid to ask for people’s assistance.

Don’t be afraid to try.

Some ideas might seem great on paper, but after implementation, they may not work the way you hoped. And that is okay. If you don’t take a viable idea for a test run, you will never know if it will truly work within your context. Don’t be afraid of failure. You can always reevaluate, tweak, or scrap an idea and try something new.

7 Tips for Running Games Well

Game time during youth group…you either love it or you hate it. Gone are the days where churches could play dodgeball and Chubby Bunny, or duck-tape kids to a wall, and now we have to be intentional in what we do and why we do it.

Games are an integral, but not the most important, part of what we do. We have all seen or experienced games that run well, but for some of us…well, games are hard to run, plan, and get people involved with. So what do we do?

1. Make sure games/game time fit your focus of ministry.

I think so often we can let our time of fun and activity cut into our message or small group time. I have been guilty of this myself. You get super invested in a 9 Square game, and all of sudden you are 20 minutes past your message time, so you call everyone over, go through your message and now small groups have only 10 minutes. That isn’t going to work, it will lead to frustration with your leaders and lack of comprehension in your students’ spiritual formation.

Instead, shape your game time around the priorities of your ministry. If you value the message and small groups they should have the bulk of your time, and games now become something that you put into your extra time. Don’t let the fun dictate the heart. Let the heart dictate the fun.

2. Invest in reusable materials.

One of the best things we can have in our repertoires is something that our students love to use, but that is also reusable. For some ministries this may be a ping pong table, foosball, or carpetball. For others it may be a basketball hoop. Or for others it may be 9 Square (email them to ask for the church discount) or Gagaball. Depending on your ministry and its space, what you have may look different than others, but that is okay.

Our ministry space is shared with other groups, so we don’t get to keep items set up throughout the week. What we done is invest in items that are easily stored, and can be set up in a shorter amount of time. We have cornhole sets, 9 Square, ping pong, foosball, and various board games, puzzles, and arts and crafts items. All of these serve a function of building community and can be run quickly and with little set up, and provide countless weeks of fun programming.

3. Put your (or someone else’s) heart into it. 

Our students know if we love or hate something. For those of us who may not love running games, our students know that and their desire to be involved will reflect our heart. If we love it, our students will love it. The energy and passion you bring will help encourage students to participate. It doesn’t need to be obnoxious, pushy, or over the top, but authentic and passionate energy will help students want to be involved.

Sometimes though, games just aren’t your thing, and that is okay. Find someone who does have that passion, help to equip and empower them, and then unleash them and let them run with it. Now you are not only helping to empower and develop leaders, you are letting them use their gifts and have buy-in. And students will have someone running games who is all-in for them.

4. Become an emcee. 

Now I don’t mean become someone who hosts an award ceremony or game show, but be someone who can not only articulate rules but also engage with the crowd. Make sure to be clear and concise as you explain what is happening. But also remember that you know your people, so have fun with them.

Games are so much more than rules, they are an opportunity to invest in people’s lives. Use them that way. Be able to laugh about the rules and game play. When that one kid who always tries to bend the rules asks a question, have fun with them instead of shutting them down. Walk around and encourage students as they play. Jump in yourself. Enjoy the time and engage with your students as they engage with your game.

5. Utilize your space.

So often we look at our space in the way that it limits us. But what if we took a step back and said, “Here is our space, how can I best utilize it?” With this mentality we enter with a whole new frame of reference and understanding that the space we have is a resource, and it allows for us to get creative. Don’t see it as limiting, see it as an opportunity to be or do something different. Yes, this may mean longer set up or tear down times, but imagine if we let the space shape our approach instead of limit it.

One of my favorite things to do is utilize games that already exist but perhaps my students haven’t seen or played before. Here are three quick ways to get awesome games for your services:

  1. Ask your leaders, students, and other youth workers. You never know what you are going to get and chances are you will get games that are youth ministry gold!
  2. Use Download Youth Ministry. Their ready-to-go games are a must-have for any ministry. Shape it to fit your group, and run with it. Note: this is a pay to use product.
  3. Use The Source for Youth Ministry’s game page. This is something that has been a huge asset to me in student ministry. Hundreds of ready-to-go games, plus a game search option that is completely customizable. Check it out, you won’t regret it.

6. Don’t force the issue.

Some students hate games and physical activity. That is completely fine. Don’t force your students to play. Doing so may actually drive them away from your ministry. Instead, look to understand why they don’t want to participate, find out what interests them, and look to curate a game time (and overall program) that intentionally invests in the lives of every student who comes.

We know that all of our students won’t participate in a game. So instead we have a cafe area (or just a chill space) where they can talk, play board or card games, eat snacks, do homework, or just talk with one another. At first we may take it personally if we orchestrated an amazing game that they don’t want to play, but step back and watch the relational equity develop and students become more invested. Honestly, I have pulled the reigns on formalized games and instead allow for more organic development of activities during that time.

7. Have fun.

This may seem like a no-brainer, but if we don’t enjoy what we are doing, our students will see that. Have fun with your games, yourself, and your crew. Laugh, play along, be willing to chuckle when your rules don’t work, and be willing to call audibles if needed. Your love and passion for whatever you do will be contagious, so bring it to your games no matter how big or small they are and see what God can do through those moments.

Crafting Messages with Meaning

“Oh, you teach students? So what do you talk about? Video games, sports, relationships, respect? Or is it more like just babysitting them for a few moments when you can make them sit still?”

We have all heard, or will hear, these or other comments surrounding the messages we give to students. These comments aren’t all out of ignorance or immaturity, but some can be rooted in missteps of those who went before us. We as youth leaders have an uphill climb when it comes to showcasing the legitimacy of student ministry, and we should own it when it comes to our teaching and leading.

Teaching students has to be one of our priorities (I will speak to other priorities in later posts), and one that cannot be treated as a second tier thought. I have witnessed many youth leaders casually offer up a five to ten minute message with little prep, less effort, and almost no comprehension of their audience. But to do that to our students, especially within this generation that is hyper-aware of our world, is a disservice and will ultimately leave students frustrated, disappointed, and wanting more. We must teach our students well, be informed on important topics, and help to train them as mature Christ-followers.

So how do we do that? Here are some tips I have learned throughout my time in ministry and I hope they afford you some insight on how to offer messages that help to push students to grow, take action, and reach their world.

Spend time preparing. 

We would think this is a no-brainer, but let’s be honest shall we? We have all had a week where we “haven’t had the time” and have thrown together a message or simply defaulted to a “game night” for our youth group gathering. I am not saying we cannot have those days or moments, that’s life, but that cannot be common place. We must spend time studying, researching, applying, and helping God’s Word relate to our students. The bulk of my time (outside of meetings of course) is spent studying and preparing for my messages. I want to have a thorough grasp of God’s Word and treat it with the respect it deserves. Putting the time in allows me to shape the message to my students and help them understand it.

Know your audience.

One of my biggest pet peeves of speakers is when they try to relate to the audience but it is clear they have no idea who the audience is or what they value. In order for you to produce messages that matter, you must know your students. Then as you are crafting your message and listening to the Holy Spirit, God will direct you in ways to speak specifically to them. So hang out with your students, learn what they enjoy, know their values, understand their dislikes, find out their favorite places to hang out, and uncover what is happening in their lives.

Use personal stories.

Don’t settle for someone else’s story or narrative. Use personal examples, tell stories from your childhood, be authentic about when you messed up. The more students can tell you are a real person, the more inclined they will be to hear you and listen to what you are saying.

Be a student of culture.

In order to craft messages that relate to students, you must understand who they are, what they value, what is important in their lives, and what is happening that shapes who they are. This means you should have a grasp of the music they listen to; the way social media is utilized in their lives; the topics and issues they are passionate about; and their view of life, church, and culture. In doing so, you will be better suited to speak to them and to how their lives are being informed and shaped.

Use humor.

Growing up I was not naturally funny. I mean I was a goofball but humor wasn’t something that I used in my talks or speeches. When I first started in ministry, I knew I had no humor so I would literally open every message with a joke from a 90s joke book that had nothing to do with my message, its points, or anything to do with that day. I just knew humor was a good thing, but I had no idea how to incorporate it. Let me say this: you do not have to be a comedian to relate to students, but being able to have fun and laugh will make you a better communicator. Use stories from your past, poke fun at yourself, laugh about a story you were reading in the news, find humor in Scripture. Humor will not only help you break down walls but it will also make your students see you in a transparent way. You have become authentic and real.

A quick side note: never, ever poke fun at a student from the stage. Doing so will alienate your audience, cause you to lose rapport, and your students will cease to trust you. Even if you have their permission, don’t do it because the rest of the audience may not know that the student gave permission.

Be passionate.

I cannot tell you how many times I have heard students say, “The speaker was good, but they just weren’t into it.” As communicators of God’s Word, we need to get excited about it. Show students the power of the Gospel. Let them see how you are working it out. Cast vision and excitement for what the Gospel can and will do. Students and adults alike should see our passion for the kingdom of heaven, and it should affect our teaching.

Pray.

I cannot tell you how many times I have gotten ready to teach and I felt so ill-equipped and unprepared. It was terrifying. Each of those times I would pray earnestly seeking God’s direction and asking Him to speak through me, and He did. We serve a great and powerful God who doesn’t need us to communicate His Word, but chooses to use us as a tool to advance His Kingdom. Cover your message in prepare before, during, and after you speak. And understand that you will still be scared, but as a professor of mine once said, “If you ever take the pulpit without some sense of fear because you are communicating the holy Word of God, you need to not be behind that pulpit.”

Know who you are, who God has empowered you to be, speak boldly and passionately, and showcase the Word of God to your students and you will see students grab on and never let go.

Back to School: Tips for Ministry Leaders

For many of us, our students have either already returned to school or will be in the coming days. With school returning there are many changes happening in the lives of students and families, and this presents many new challenges for youth leaders but also some amazing opportunities.

It can be easy for us to bemoan the difficulty of trying to compete with students’ schedules and all the things they are committed to, but I would recommend a different approach. See this season as an opportunity. An opportunity to do ministry in a different way, an opportunity to see your reach extend past the traditional Sunday or Wednesday, and an opportunity to reach more than just students.

When it comes to a new school year, there are some action steps I would suggest that every student ministry leader take as the fall begins.

Pray. This is a simple one, but often the most simple things fall by the wayside. But take time to pray for and with your students. One of my favorite things to do is pray over students at church or youth group. But the biggest rewards have been when I have texted students during the day and said, “Hey, just wanted you to know I am praying for you. What can I pray for?” Wait and see what the results are.

Host a venue for families. The church I serve at now hosts a “passage ceremony” to create a space for families to speak into the lives of their students. We host it for incoming 6th and 9th grade students and their families each year for a couple hours after church. We provide a full lunch, and allow for space for parents to pray with and for their students, and to speak truth and encouragement into their lives. As leaders, we also recognize this change and encourage the students and families. The results from this (and our subsequent venue for graduating seniors) have been awesome! Students and parents alike talk about how this has helped them mentally and spiritually prepare for the school year and the new journey that is ahead of them.

Be willing to go to where your students are. One of my favorite things about working with students is going to their events and supporting them. I love going to fall football games with my wife and leaders, the Halloween parade is a blast with all of the bands participating, and watching my students act and sing in plays and musicals is awesome! But the money shot here isn’t just meeting my students and supporting them, but loving and ministering to their friends and families. Venues outside of church allow for you to meet and engage with countless other people who you may never have met before. I am not advocating for you to go to all the things, but instead to see ministry as larger than just the time at church.

Also, encourage your leaders to do this as well. This is key in the disciple-making process and allows for the reach of the ministry to be even larger. All of my leaders love supporting their students and actually get their small groups to go to one another’s events. We have even advocated for small groups to do this on youth group nights because it allows for more intentional connection and we have seen awesome Gospel conversations come about from those moments.

Engage with teachers and school leaders. I try to have open lines of communication with our school administrators and reach out throughout the year with an offer to buy them coffee or lunch. I let them know that we are for them and want to do whatever we can to support and care for them. We also have a group of churches that host a lunch for the teachers as they do back to school training and we get to love and encourage them as they serve. This will open up many conversations and opportunities to minister in ways you may not have anticipated.

Remember the parents. It is hard for parents to see their students go back to school and experience the changes happening at home. Make sure to invest in the families, and to offer support to them as this new season begins. We send out a monthly newsletter with articles and resources to help equip and strengthen families because this isn’t about doing life alone, but as a group of Christ followers. Stop parents in the halls, at events, or shoot them a text asking how they are doing and how you can pray for them and their families. Watch and listen for key things and phrases, and follow up! Let them know they were seen, heard, and valued.

Also make sure to let them know how their kids are doing. You don’t need to give them a 40-page debrief on the previous youth group night, but point out some things you have noticed about their students. This will not only encourage them but give them buy-in to the program as well. It will also challenge you to intentionally see and be involved in all the lives of your students so you can do that. Your relational rapport will grow and subsequently strengthen the program overall.

Preparing as a Volunteer Leader

Fall is almost upon us and so is the start of another school year. Whether you’re a veteran leader, or this will be your first year serving in student ministry, it’s a great time to prepare for the upcoming year. It’s easy to simply roll into student ministry without giving it too much fore-thought, but I believe taking some time to prepare can be beneficial. Here are a few ways to help be better prepared for the start of this ministry year.

Get in the know

Our ministry hosts a leader training session before each school year starts. This helps us to get on the same page, go over any rules and requirements, talk about the plan for the year ahead, and bond as leaders. If your church doesn’t host leader training or if you’ll miss it, I recommend scheduling a meeting with your student pastor. Use the time to hear his/her vision for the year, learn important rules, find out who is in your small group, and grow in your understanding of the program and its leadership. The more you can learn about the students, the ministry, and the leadership, the more effective you will be as a member of the team.

Meet with key individuals

If you have one or more co-leaders, I recommend getting together before the school year starts. In addition to getting to know each other and how to work together well, you can take time to pray over and cast a vision for your group. This may sound like a lot of work, but if you have a direction and goal you are all working toward, it will help to build intentionality within your small group time. You can also think about how you want to lead discussion, how you can work together to challenge your small group, and how you want to divide any tasks or responsibilities. If you come in with a plan and vision, or if you simply show up with zero fore-thought, it will ultimately reveal itself in how you lead. As the old phrase goes, “failing to prepare is preparing to fail,” and students deserve the best we can offer.

In addition to meeting with leaders, you may want to meet up with your students as well, if possible. Any time spent with students is a great opportunity to bond–they get to know you and you get to know them. You will become an even more effective leader the more you know your group, the issues they are dealing with, and the things they are passionate about. You can also use this time to encourage and challenge students you have identified as leaders within the group. Help them get ready for the year ahead by identifying areas where they can serve and have an impact.

Invest in your spiritual growth

This is something we should be doing year-round, not just before the school year starts. As leaders we need to have spiritual inflow in order to produce an outflow. But now is a great time to re-focus and make sure you are getting adequate inflow. And to be totally honest, youth group should not count toward your inflow. You are there as a leader, to guide and help students to grow, not to find growth yourself. That is not to say that you won’t grow, or be challenged by the teaching, but your time with students should not be a primary source of your spiritual growth.

Personally, I find growth and inflow in a few key areas: personal devotional and quiet time, and corporate worship and Bible study. In addition to the Sunday morning worship service, I also participate in a women’s Bible study where I experience deep personal relationships and community. I also value quiet time alone when I can study the Word, pray, and listen to the Holy Spirit without distractions. I cannot emphasize enough how important it is to have steady, healthy spiritual inflow.
